Research Data Management. Or, How I made multiple backups and still almost lost my honours thesis.
This is a story I used to tell while teaching fieldworkers and other researchers about how to manage their data. It’s a moderately improbable story, but it happened to me and others have benefited from my misadventures. I haven't had reason to tell it much lately, and I thought it might be useful to put into writing. This is a story from before cloud storage was common - back when you could, and often would, run out of online email storage space. Content note: this story includes some unpleasant things that happened to me, including multiple stories of theft (cf. moderately improbable). Also, because it's stressful for most of the story, I want to reassure you that it does have a happy conclusion. It explains a lot of my enthusiasm for good research data management. In Australia, 'honours' is an optional fourth year for a three year degree. It's a chance to do some more advanced coursework and try your hand at research, with a small thesis project. Of course, it doesn't feel small when it's the first time you've done a project that takes a whole year and is five times bigger than anything you’ve ever written. I've written briefly about my honours story (here, and here in a longer post about my late honours supervisor Barb Kelly) . While I did finish my project, it all ended a bit weirdly when my supervisor Barb got ill and left during the analysis/writing crunch. The year after finishing honours I got an office job. I hoped to maybe do something more with my honours work, but I wasn't sure what, and figured I would wait until Barb was better. During that year, my sharehouse flat was broken into and the thief walked out with the laptop I'd used to do my honours project. The computer had all my university files on it, including my data and the Word version of my thesis. I lost interview video files, transcriptions, drafts, notes and everything except the PDF version I had uploaded to the University's online portal. Uploading was optional at the time, if I didn't do that I probably would have just been left with a single printed copy. I also lost all my jewellery and my brother’s base guitar, but I was most sad about the data (sorry bro). Thankfully, I made a backup of my data and files on a USB drive that I kept in my handbag. This was back when a 4GB thumb drive was an investment. That Friday, feeling sorry for myself after losing so many things I couldn't replace, I decided to go dancing to cheer myself up. While out with a group of friends, my bag was stolen. It was the first time I had a nice handbag, and I still miss it. Thankfully, I knew to make more than one back up. I had an older USB that I'd tucked down the back of the books on my shelf (a vintage 256MB drive my dad kindly got for me in undergrad after a very bad week when I lost an essay to a corrupted floppy disk). When I went to retrieve the files, the drive was (also) corrupted. This happens with hard drives sometimes. My three different copies in three different locations were now lost to me.
Thankfully, my computer had a CD/DVD burner. This was a very cool feature in the mid-tens, and I used to make a lot of mixed CDs for my friends. During my honours project I had burned backed up files on some discs and left them at my parents house. It was this third backup, kept off site, which became the only copy of my project. I very quickly made more copies. When Barb was back at work, and I rejoined her as a PhD student, it meant we could return to the data and all my notes. The thesis went through a complete rewrite and many years later was published as a journal article (Gawne & Kelly 2014). It would have probably never happened if I didn’t have those project files. I continued with the same cautious approach to my research data ever since, including sending home SD cards while on field trips, making use of online storage, and archiving data with institutional repositories while a project is ongoing.
I’m glad that I made enough copies that I learnt a good lesson from a terrible series of events. Hopefully this will prompt you, too, to think about how many copies you have, where they’re located, and what would happen if you lost access to your online storage.

"Just weeks before the implosion of AllHere, an education technology company that had been showered with cash from venture capitalists and featured in glowing profiles by the business press, America’s second-largest school district was warned about problems with AllHere’s product.
As the eight-year-old startup rolled out Los Angeles Unified School District’s flashy new AI-driven chatbot — an animated sun named “Ed” that AllHere was hired to build for $6 million — a former company executive was sending emails to the district and others that Ed’s workings violated bedrock student data privacy principles.
Those emails were sent shortly before The 74 first reported last week that AllHere, with $12 million in investor capital, was in serious straits. A June 14 statement on the company’s website revealed a majority of its employees had been furloughed due to its “current financial position.” Company founder and CEO Joanna Smith-Griffin, a spokesperson for the Los Angeles district said, was no longer on the job.
Smith-Griffin and L.A. Superintendent Alberto Carvalho went on the road together this spring to unveil Ed at a series of high-profile ed tech conferences, with the schools chief dubbing it the nation’s first “personal assistant” for students and leaning hard into LAUSD’s place in the K-12 AI vanguard. He called Ed’s ability to know students “unprecedented in American public education” at the ASU+GSV conference in April.
Through an algorithm that analyzes troves of student information from multiple sources, the chatbot was designed to offer tailored responses to questions like “what grade does my child have in math?” The tool relies on vast amounts of students’ data, including their academic performance and special education accommodations, to function.
Meanwhile, Chris Whiteley, a former senior director of software engineering at AllHere who was laid off in April, had become a whistleblower. He told district officials, its independent inspector general’s office and state education officials that the tool processed student records in ways that likely ran afoul of L.A. Unified’s own data privacy rules and put sensitive information at risk of getting hacked. None of the agencies ever responded, Whiteley told The 74.

In order to provide individualized prompts on details like student attendance and demographics, the tool connects to several data sources, according to the contract, including Welligent, an online tool used to track students’ special education services. The document notes that Ed also interfaces with the Whole Child Integrated Data stored on Snowflake, a cloud storage company. Launched in 2019, the Whole Child platform serves as a central repository for LAUSD student data designed to streamline data analysis to help educators monitor students’ progress and personalize instruction.
Whiteley told officials the app included students’ personally identifiable information in all chatbot prompts, even in those where the data weren’t relevant. Prompts containing students’ personal information were also shared with other third-party companies unnecessarily, Whiteley alleges, and were processed on offshore servers. Seven out of eight Ed chatbot requests, he said, are sent to places like Japan, Sweden, the United Kingdom, France, Switzerland, Australia and Canada.
Taken together, he argued the company’s practices ran afoul of data minimization principles, a standard cybersecurity practice that maintains that apps should collect and process the least amount of personal information necessary to accomplish a specific task. Playing fast and loose with the data, he said, unnecessarily exposed students’ information to potential cyberattacks and data breaches and, in cases where the data were processed overseas, could subject it to foreign governments’ data access and surveillance rules.
Chatbot source code that Whiteley shared with The 74 outlines how prompts are processed on foreign servers by a Microsoft AI service that integrates with ChatGPT. The LAUSD chatbot is directed to serve as a “friendly, concise customer support agent” that replies “using simple language a third grader could understand.” When querying the simple prompt “Hello,” the chatbot provided the student’s grades, progress toward graduation and other personal information.
AllHere’s critical flaw, Whiteley said, is that senior executives “didn’t understand how to protect data.”

Earlier in the month, a second threat actor known as Satanic Cloud claimed it had access to tens of thousands of L.A. students’ sensitive information and had posted it for sale on Breach Forums for $1,000. In 2022, the district was victim to a massive ransomware attack that exposed reams of sensitive data, including thousands of students’ psychological evaluations, to the dark web.
With AllHere’s fate uncertain, Whiteley blasted the company’s leadership and protocols.
“Personally identifiable information should be considered acid in a company and you should only touch it if you have to because acid is dangerous,” he told The 74. “The errors that were made were so egregious around PII, you should not be in education if you don’t think PII is acid.”

A writer’s guide to forests: from the poles to the tropics, part 8
We’ve made it to the tropics. I hope you enjoyed this, and found it useful in your writing.
Tropical rainforest
Probably the most recognizable of forest environment, and among the most threatened.
Location-Latin America, Africa, Australia, Indonesia, and the Pacific islands in between the tropics of Cancer and Capricorn. Many forests have been felled or heavily altered by human activity.
Climate-Subtropical to tropical, with conditions being wet year round. Rain does not fall all the time, with a defined rainy and dry season. (What’s the difference? Rainy season has rain almost daily while in the dry season you will have to make do with high humidity and morning fog) At higher elevations, nights are cooler, though still well above freezing, and mist and rain are more common(this is why mountainous RF are called cloud forests)
Plant life- This is a tree dominated environment. The understory and forest floor are dark, unless trees have recently fallen. Many small plants are arboreal, nestled in the upper branches of trees. Vines and other climbers use larger plants as scaffolding. In areas of poor soil, tropical pitcher plants (Nepenthes spp.) and bladderworts (Utricularia spp.) get much needed nutrients from animal sources.
Animal life- Rainforests are the most biodiverse environments on Earth. Insects are everywhere, as are the animals that eat them. Birds and primates can be found from the canopy to the forest floor. The moist conditions make for an ideal habitat for frogs and toads. Apex predators are the big cats-think jaguars, tigers and leopards. Some species of herbivores can be quite large; Africa is home to gorillas and forest elephants, while the island of Borneo, Sumatra, and Java support rhinos and orangutans (though the further of these species is uncertain)Waterways are home to all sorts of fish(there are more species in the Amazon river than in the Atlantic Ocean), and larger animals, such as otters, crocodilians, and even river dolphins. Isolated islands have far fewer mammal species, with bats being the only ones, but hardy insects, reptiles, and birds making up the majority of the biomass. Deforestation and the introduction of invasive species have caused the extinction of many animal species, with island forests being the hardest hit.
How the forest affects the story- When one thinks of societies in the tropics, it usually is through the lens of western stereotypes designed to shock audiences and give ‘civilization’ something to conquer. Avoid this at all cost! There is more to the forest. Before the Spanish conquest, the Amazon was home to cities, and the agricultural societies of New Guinea are believed to be contemporaries with the farmers of Mesopotamia.
Grain does not do well in the tropics, so farming will be based around plants such as açaí, coconuts, taro, breadfruit, bananas, and manioc. These can be supplemented by hunting and fishing, but long term storage will have to be addressed. High humidity is a breeding ground for bacteria and fungi, so organic material will have to be kept dry so they don’t rot. The concentration of microorganisms also means that good hygiene is needed to avoid disease.
Settlement will always cause disruption, and the extent of your character’s activities can have a big impact on the forest, and your story. And remember, the activity of a small village will be different to that of large scale logging. Management, use, and abuse of the rainforest can be a driving factor in the plot. How will your characters react? Is the threat from outside or from within? The destruction of the rainforest is one of the main factors, along with unmitigated greenhouse gas emissions that is causing the current climate crisis. Can your characters do better? Or will you create a cautionary tale that shows us the grim future we are currently barreling towards? (That choice, my dear writers, is completely up to you)

Australia has decided to examine and remove Chinese-made surveillance technology used in government buildings.
Defense Minister Richard Marles on Thursday said the Chinese-made cameras could pose a security risk for the country.
Two companies, Hikvision and Dahua, have provided at least 913 cameras, intercoms, electronic entry systems and video recorders in over 250 Australian government buildings.
Both companies are partly owned by the Chinese government.
"We would have no way of knowing if the sensitive information, images and audio collected by these devices are secretly being sent back to China against the interests of Australian citizens,'' said shadow Minister for Cyber Security James Paterson, who requested the audit.
The checks came after Britain in November announced that it would stop installing Chinese-linked surveillance cameras in sensitive buildings.
Some US states have also banned vendors and products from several Chinese technology companies.
Hikvision rejects claims of security threat
An audit found that equipment from at least one of the two companies was present in almost every government department, except the Agriculture Department and Department of the Prime Minister and Cabinet.
Paterson urged the government to "urgently" come up with a plan.
Defense Minister Marles said that issue was significant but added "I don't think we should overstate it."
Hikvision said that to represent the company as a national security threat is "categorically false," as it cannot sell cloud storage, access the video data or manage databases of end users in Australia.
"Our cameras are compliant with all applicable Australian laws and regulations and are subject to strict security requirements," said a spokesperson of the company.
Dahua Technology has not yet responded.
China urges "fair" treatment
Beijing on Thursday accused Canberra of "misusing national might to discriminate against and suppress Chinese enterprises."
"We hope Australia will provide a fair, just and nondiscriminatory environment for the normal operations of Chinese enterprises," said China's Foreign Ministry spokesperson Mao Ning. 
According to Paterson, both companies are subject to China's national intelligence law which requires them to cooperate with Chinese intelligence. 
In similar cases, China's general response to such situations has been to defend their high-tech companies and present them as good corporate citizens who play no part in intelligence gathering.

SO MUCH of Australia is still on expensive satellite internet or nothing. If you're not in a city, your internet is usually Not Reliable and is absolutely gonna be pulling in less than 20mbps. I hate cloud storage. I hate always-online anything. I hate it.
