Digital Contracting: Key  Fundamentals and Features You Need to Know
What is Digital Contracting?
Digital contracting is creating, managing, and executing contracts digitally, transforming the entire contract lifecycle into a smooth and collaborative workflow. It handles every aspect of the contract lifecycle, including preparation, drafting, editing, negotiation, signing, implementation, and management. It seamlessly integrates with other tools in your workflows.
Why do we need digital contracting?
If you are involved in contract management or legal work, you know how time-consuming it can be to create, handle, and negotiate contracts. Contract managers often must start from scratch for each new agreement, without using templates or automation. This becomes draining when dealing with multiple active contracts, which is common in medium to large companies.
Digital contracting software like ConvergePoint offers a solution to these challenges. By optimizing the contract management lifecycle (CLM), digital contracting provides quick access to data, processes, and stakeholders involved in contracts, enabling faster agreement execution. It facilitates collaboration with different business departments, automates workflows, offers various signing methods, and centralizes all contract-related activities. This way, you can easily track who is doing what and stay updated on your ongoing contracts.
Furthermore, it provides valuable insights into contract performance, empowering data-driven decision-making for your business. No longer will you need to spend countless hours creating, editing, and negotiating low-value agreements from scratch. Instead, digital contracting allows you to focus your time and energy on tasks that require innovation and strategic planning.
Key Features of ConvergePoint Digital Contracting Software
Digital contracting software like ConvergePoint transforms how businesses manage agreements, making the process faster, more accurate, and extremely convenient.
Here is what makes it stand out:
Automated Contract Creation
“Say goodbye to starting contracts from scratch!”
Contract creation is made easier with AI-powered drafting tools and pre-defined templates. Without having to worry about missing necessary clauses or making manual errors, you can alter details to meet specific needs.
Simplified Negotiations
“Negotiating doesn’t have to be messy.”
Multiple stakeholders can simultaneously evaluate, comment on, and alter the contract through real-time collaboration features. Immediate tracking of changes removes misunderstanding and saves time spent on endless email threads or manual document comparisons which smoothens contract negotiation process.
Communication and Workflow Alerts
“Never miss an important deadline or approval.”
Stakeholders get notified about pending tasks, approvals, or deadlines by automated alerts. This shows that everyone is on the same page and that there are no unnecessary delays in the contract lifecycle.
A Digital Hub for Storing Contracts
“Forget the chaos of filing cabinets or scattered digital folders.”
All contracts have been organized in one location by a centralized repository, which allows metadata searches for contract retrieval when needed. This means that you always have the most recent version on hand and saves time.
E-Signing Options
“Speed things up with electronic signatures!”
These safe and legally valid signatures enable contracts to be signed and executed right away, irrespective of the parties' locations. The contract can be signed with a few clicks, avoiding the need to print, scan, or mail documents.
These features save time and reduce human errors, making digital contracting a necessary tool for modern businesses. By automating key processes, legal team, procurement managers and compliance officers can ensure smooth operations while maintaining compliance regulatory and operational challenges across these departments.
Digital Contracting for Legal Teams
Automate manual processes such as contract creation, approvals, and tracking for increased efficiency.
Ensure transparency and accountability with built-in audit trails.
Stay compliant with regulatory requirements through notifications and alerts.
Access real-time contract data to quickly respond to inquiries and track progress.
Make informed decisions faster with instant visibility into contract statuses.
Digital Contracting for Compliance Officers
A centralized contract repository provides secure storage, making it easy to access, review, and audit contracts.
Simplified contract tracking is designed to enhance governance and streamline compliance processes.
Automated reminders and alerts for deadlines, renewals, and milestones to prevent non-compliance and missed opportunities.
Digital Contracting for Procurement Managers
Access detailed analytics to evaluate contract performance and identify opportunities for cost savings.
Leverage insights to renegotiate terms more effectively for better outcomes.
Utilize structured workflows to streamline approval processes, ensuring faster and more organized operations.
Reduce bottlenecks and expedite the procurement process with efficient digital tools.
What are the fundamentals of digital contracting?
Digital contracting utilizes digital tools and a centralized cloud to store and manage contracts. Here are the core benefits of digital contracting:
Quickly find information about your intellectual property contracts, such as upcoming deadlines and agreed-upon terms, with a few keystrokes. Accessing contract details becomes a matter of seconds.
Previously, contracts were often difficult to access as they were stored in various physical and digital locations. With this searchable digital hub, authorized team members can easily and securely access contracts whenever needed.
Stay ahead of deadlines, respond promptly, and speed up the process. Creating agendas and drafts becomes significantly faster as well.
Digital contracting provides various signing methods
“The signing solutions make it easier for people to sign anywhere and anytime, which is the type of frictionless experience that vendors, employees, customers, and partners expect.”
Integrating software with an electronic signature provider simplifies the contract process for legal departments with complete audit trails, version history, and metadata for contracts and signer actions. This eliminates the need for slow paper-based exchanges and reduces the reliance on printing and scanning in hybrid systems.
Companies like DocuSign and Adobe EchoSign offer digital signatures, which uniquely identify the document and signer. This ensures that the signer matches the signature and prevents unauthorized edits, forgery, and tampering, safeguarding signer's authenticity and data integrity.

More automated and streamlined contract processes
Contract processes are renowned for consuming valuable time and energy due to their complexity, extensive communication among different parties, and the need for extensive negotiation. Fortunately, digital contracting offers a solution that simplifies the contract management process. With software like ConvergePoint, digital contracting platforms enable quick construction and implementation of contract approval and generation processes.
The software provides a centralized location for all requests, allowing you to view all processes briefly. Additionally, they offer robust workflows that simplify contract creation. You can also select template, customize clauses, identify fields for completion, and add signers and approvers. Furthermore, the Software ensures compliance with legal and organizational requirements without the need for manual review. Digital contracting tools provide up-to-date approval routing templates and guardrails to guarantee automatic contract compliance.
Better team collaboration
"Finally, digital contracting tools offer a collaborative team experience."
Digital contracting platforms aim to eliminate communication barriers and enable collaboration between departments. By providing a centralized contract storage hub, these platforms facilitate information sharing among different departments. Legal teams can collaborate with other departments by granting them permission to access and contribute to contract drafting, management, and execution. This multi-departmental collaboration allows for the creation of higher-value and more tightly constructed contracts.
Additionally, digital contracting solutions offer benefits such as gaining insight into contract prioritization and considering relevant contract histories. They also provide the ability to update departments on the status of ongoing contracts and deals. Some platforms, such as the ConvergePoint software, further enhance collaboration through real-time editing, negotiation, and commenting features, ensuring everyone involved can effectively work together.
ConvergePoint: The Smart Way to Digital Contracting Success
As technology continues to evolve, we can expect digital contracting to become even more sophisticated, with the emergence of new tools and technologies that will transform the way we manage contracts. The fundamentals of digital contracting with ConvergePoint Contract Management Software are essential for modern businesses looking to optimize their contract management processes.
With its robust capabilities, ConvergePoint’s digital contracting software built on SharePoint, checks all these boxes, providing a secure, and centralized system to manage contracts effectively.

By tailoring the homepage to display key documents, important tasks, and essential team resources, you can simplify access to the most frequently used content.
2. Leverage SharePoint Libraries for Efficient Document Management
SharePoint’s document libraries are central to managing content within an organisation. Properly organising these libraries using metadata and tags ensures that documents are easy to search, retrieve, and collaborate on. Optimising these libraries helps in managing version control and enables seamless document sharing and updates.

3. Enable Cross-Team Collaboration with Microsoft Teams Integration
SharePoint Online is deeply integrated with Microsoft Teams, which enhances collaboration across departments, teams, and even external stakeholders. By syncing SharePoint document libraries with Teams channels, employees can collaborate in real-time, access relevant documents without switching platforms, and track project progress more efficiently.
4. Streamline Workflows with Power Automate
One of the most powerful features of SharePoint Online is its integration with Microsoft Power Automate. With Power Automate, you can automate repetitive tasks like approval workflows, document routing, and notifications. By reducing the manual intervention in routine processes, organisations can significantly reduce errors and save valuable time.
5. Ensure Data Security and Compliance
In today’s data-driven world, security and compliance are paramount. SharePoint Online offers robust security features, including permission settings, user roles, and audit logs, to help businesses safeguard sensitive data. Optimising SharePoint’s security settings ensures that only the right people have access to specific information.
6. Optimise for Mobile Use
With a growing mobile workforce, SharePoint’s mobile compatibility is a game changer. By ensuring that your SharePoint Online sites are mobile-optimised, employees can access content, collaborate on projects, and share documents from anywhere—helping to boost productivity, especially for remote teams.
7. Utilise SharePoint Search for Enhanced Discoverability
One of the most valuable tools in SharePoint Online is its search functionality. By fine-tuning your SharePoint search settings, you can make it easier for employees to find relevant documents, lists, and resources. An optimised search function ensures that employees spend less time searching and more time on productive tasks.
8. Monitor and Analyse SharePoint Usage
To understand the impact of SharePoint optimisations, it’s important to track how users are interacting with the platform. SharePoint Online provides analytics tools that can help organisations monitor user activity, content usage, and overall engagement. This data is invaluable for identifying areas that need improvement and optimising workflows.
9. Embrace Versioning and Document History
Version control in SharePoint Online allows users to keep track of changes to documents and revert to previous versions when necessary. This feature is particularly useful for teams that collaborate on documents, ensuring that no important information is lost and that everyone is working from the most up-to-date version.
Conclusion
Optimising SharePoint Online is not just about enhancing the platform’s functionality—it’s about creating a seamless, efficient, and secure environment where employees can collaborate, share resources, and manage documents with ease. By customising the interface, integrating with other Microsoft tools, automating workflows, and ensuring strong security practices, businesses can significantly boost productivity and improve overall operational efficiency.
Remember, SharePoint Online’s real power lies in its flexibility and ability to be customised to meet the unique needs of your organisation. Take the time to optimise it for your business, and you’ll unlock its true potential to drive productivity and foster a collaborative workplace.

one goofy ass thing i like about my job is we all really like having staff feedback after programs (like after in service, after summer reading, etc) because it just makes it easier to make it actually helpful and easier next time around and that’s all we want right, like PERSONALLY i don’t want to be anxious about a program and dreading it all year, which means i get to do what i Love which is offer my opinion constructively so i can be like “i think some people just don’t understand paylocity, it is a little confusing & for them, going through that app is this scary time sink so they don’t open it ever.” and no one is taking it personally because five other people wrote in “beanstack scares me” and “i’m not using teams” and we can just adjust our expectations of our older coworkers instead of writing people up for it akskd.
#i was like “’not me tho i get it but maybe ask [tech person] to do an explainer? i believe they have a whole bit about this’#and then we get a explainer on it the next in service and all the tech afraid people are like ‘oh you can turn it on on the desktop?’ yes 😭#we had a whole thing about office bc they’ve tried to explain they pinned the ‘POLICIES AND PROCEDURES ON REPORTED LOST CHILD’ on the#share point bc it’s a library that’s something that happens on a semi regular basis and we live off a busy street it’s important to make#sure the kid didn’t wander out of the building those cars Will mow you down.#and the collective ‘OH!’ when they showed us how to get to the sharepoint. i figured that out day 2.#i bookmarked the page and added my own books marks. like half of them were shocked.#they have been here 10 years or more. 😭#i like to say ‘i love hearing about what the director does during the day i think the projects are all fascinating’ bc i think phrasing a#compliment for like ~admin transparency~ as a compliment is imo the best way to reward admin transparency.#also tbh yes it Is interesting to me like being a director is honestly a lot about Building Maintenence as it is budget and networking and#managing big problems with staff etc. it’s honestly fascinating how much she has to know about upkeep as director.#also. listen i’m sorry i love being bribed with food. have office hours with snacks. give me an excuse not to work.#i loved staff day at goodwill too i loved not dealing w work and badgering the corporate guy while the managers worked the front#and then getting pizza. they would grill for us on employee appreciation day.#do u know what my department store did. they gave us a payday bar.#that shits insulting like just don’t do anything? u Kno u pay shit and have is on these ass schedules what’s your problem why are u gloating#now ya closed!#it’s karma!#anyways this one is nice i think my manager is really bad at schedules and this is a gripe i’ve heard from wveryon so it’s not just me but#it’s other wise as everyone puts it ‘not nearly as toxic as other libraries’ like no one here is actively committing psychological warfare#over some office job nonsense. our patrons aren’t actively trying to get us shut down. that’s a nice change.

Benefits of Version Control in Contract Management
What is contract versioning?
Contract versioning is tracking and managing multiple revisions of a contract throughout its lifecycle. This practice is important for effective contract management to ensure smooth operations and develop strong connections with partners and clients. Businesses might manage hundreds and thousands of contracts each requiring numerous modifications and updates, making it impossible to keep track of different contract document versions. With version control, a new version is created when a contract is modified, allowing all changes to be tracked.
Why is contract version control important?
Take a look at how your company’s contracts are organized and how your team communicates when working on those contracts.
Are your document labeled with extensions such as, “/FILENAME-DATE-v14-r02.doc”?
Have you ever had an email discussion with your team about updating a document, made revisions directly to it and then accidentally saved over the previous version?
Have you ever had to dig through files trying to determine which version of a contract to update because you can’t tell the difference between the most recent iteration, the last final and approved contract, and draft copies?
If you’ve ever answered “yes” to any of the questions above, you recognize the importance of version control and the frustration of not having an established process.
Without version control, changes become permanent; but with contract version control, you always know and work from the latest version, while still being able to reference previous versions.
Versioning “enables you to store, track and restore items in a list and files in a library as they are changed,” according to the Microsoft Office website.
Contract version control is extremely helpful and in fact, a crucial step in creating a “productive, collaborative ‘office’ for your always-connected staff,” according to a Fast Company article. Without it, workflows within your contract management system become moot and coordinating who should review and revise what and when becomes challenging.
What are the benefits of version control in contract management software?
Easy Tracking of Changes
Never lose the previous version
Improved collaboration
Compare versions and identify changes
Improve Compliance and Auditing
Save Time with Organized Contract Revisions
Reduce the risk of errors and miscommunication
Let’s take a closer look at these benefits in detail.
Easy Tracking of Changes:
Contracts often go through numerous variations, with multiple stakeholders requesting changes and modifications. Version control makes sure that every change is documented, providing a clear history of modifications. This allows you to track who made changes and when maintaining complete transparency throughout the contract's lifecycle.
Never lose the previous version:
“Have you ever saved an important document, since you required an earlier version?”
This is no longer an issue with version control for contract management. Version control maintains each revision automatically, allowing you to access previous versions and go back to an older draft if necessary. It provides you peace of mind, knowing that no version is lost.
Also read: Using AI to Summarize and Review Contracts Quickly
Improved collaboration:
Contract negotiations often involve multiple stakeholders, each bringing their revisions. Version control improves collaboration by ensuring that all changes are documented and accessible to the entire team. It additionally improves transparency, but it also avoids the chaos of having multiple versions floating in emails or documents shared by others.
Also read: Advanced AI-Enabled Contract Negotiations with AddIn AI redlining
Compare versions and identify changes:
When contracts are frequently updated, it is easy to miss an important change in the fine print. With version control, you can compare different drafts side by side to figure out exactly what has been altered. This feature ensures that no important information slips through the cracks, allowing you to review and accept changes securely.
Improve Compliance and Auditing:
Compliance with legal and regulatory regulations plays an important role in contract management. Version control allows you to keep a full record of all contract changes, which is required for auditing. If problems arise, you'll have a clear record of who made the changes and why, maintaining your business stays compliant and audit ready.
Save Time with Organized Contract Revisions:
Manually searching through emails or files to find the right version of a contract can be time-consuming and difficult. Version control reduces the confusion of storing all contract revisions in one central location. No more sorting through innumerable versions—everything is right where you need it.
Reduce the risk of errors and miscommunication:
One of the major risks in managing contracts involves dealing with outdated or incorrect versions of a contract agreement. Version control significantly minimizes this risk. Everyone is involved with the most recent version, reducing the possibility of errors or miscommunication. This reduces the risk of costly errors, making the contract management processes easier and more efficient.

Why is ConvergePoint's Contract Management Software the best choice for contract version control?
Keep your existing documents, which were most likely created in Microsoft word in the same file formats — meaning you’ll already know how to work in the documents and it will be easy to migrate them to a SharePoint-based Contract Management Software
Easily search for contracts and related documents by creating consistent file naming conventions and saving contracts into organized directory structures
Maintain records of all revisions, comments and discussions surrounding a contract for audit purposes
Compare documents to see what changes have been made between versions
Confidently make edits without worrying about accidentally saving over a previous version
Know who made what changes and when
See the evolution of a contract, with version history stored in one central repository
Conclusion:
Want to discover the importance of version control and how contract version control works? why it’s crucial for collaboration and how it can streamline workflows within your contract management system? No one does version control like Microsoft, on its platform “SharePoint”.
As SharePoint experts, ConvergePoint will show you how version history works within our Contract Management Software and how it eliminates extra emails and confusion within your legal department. Incorporate Office 365 & SharePoint contract version control to streamline contract management and experience a secure and efficient approach to maintaining contract integrity within the dynamic Office 365 environment.

How a SharePoint-based CMS can streamline enterprise policy management & lifecycle
Microsoft SharePoint-based CMS is an ideal content management system for enterprise policy management due to its versatility and collaborative capabilities.
Managing, updating, and regulating enterprise policy is crucial for organizations to set a regulatory code of conduct. Enterprise policy management (EPM) is an integral business operation that ensures the implementation of company regulations in both internal and external environments by storing, managing, and analyzing policy documents. Not only that, but it also enables organizations to make necessary changes and updates in the company policy to improve scalability and adaptability with the changing environment, thus maintaining a healthy policy life cycle.
As the business environment has changed drastically due to a global pandemic, it is now more important than ever for companies to incorporate fast, accurate, and reliable content management systems for policy management. And for a reliable content management system, nothing beats Microsoft SharePoint’s versatility and efficiency in data storage, processing, and distribution capabilities.
Embracing the age of digital enterprise policy management
Nowadays, enterprise policies need to be dynamic enough to keep up with the ever-changing business environment, especially when it comes to defining responsibilities and liabilities when transitioning from legacy systems to digital. Numerous businesses struggle through this phase due to the need for drastic policy changes. That challenge has only amplified in a post-pandemic business environment.
In such a scenario, having a robust and reliable EPM system backed by an industry-grade content management system (CMS) will help emerging businesses in adapting to the market changes with quick and future-centric policy changes. This can enable organizations to better analyze current market trends, company growth, and government regulations to create a smooth policy life cycle. To that end, a content management system built on Microsoft SharePoint can add significantly to a company’s policy management system for years to come.
How SharePoint-based CMS can help you build a modern enterprise policy management system
SharePoint helps organizations to create a collaborative work environment with an efficient and secured data storage, analyzing, and distributing platform for businesses. One of the major functions SharePoint helps policymakers perform is streamlining and organizing the complex and vast data that goes into creating and updating policies.
From an enterprise policy management perspective, SharePoint works perfectly as a collaborative work system where the leadership can work together with key departments such as HR and IT to update company policy and communicate changes with their employees quickly and securely.
The sheer versatility of SharePoint with its plethora of features can be customized to match individual business needs. It also applies to designing the most comprehensive policy management ecosystem to handle the dynamic external compliance burden. Being the central hub of information, SharePoint also helps in upgrading policies to match scalability and digital integration needs.
Now, let’s take a look at SharePoint’s key features that can help organizations streamline and modernize enterprise policy management:
Secure data storage
The biggest strength of SharePoint is its secure architecture and data storage. The platform provides centralized storage for the company’s sensitive data, which also includes the company policies and market insights. SharePoint provides end-to-end storage security with the following features:
Permission-based access: SharePoint enables policy and decision-makers to assign various permission levels to users depending on the company hierarchy, which means only the top-level management or specific designated users can create, view, or modify policies.
Version control: SharePoint’s version tracking allows users to prevent accidental deletion and overwriting by restoring the last relevant version easily.
Audit trail: SharePoint allows administrators to track people accessing and editing the company policy files with date, time, and version history data.
Tracking and assessment
The SharePoint automated notification feature informs people within the organization about the updates in enterprise policies and evaluating its benefits by communicating with the leadership team. In addition to it, SharePoint offers the following features to enable accurate tracking and assessment:
Real-time dashboards: Build detailed dashboards on Excel or Power BI and then import them to the SharePoint CMS. This way, leaders and administrators can get insights on the list of policies, version details, status for approval, and other crucial data. When someone from the leadership updates or approves a new policy, it immediately reflects on the dashboard, notifying all employees of the change.
Alerts and notifications: SharePoint can be configured to generate various automated notifications. For example, you can configure automatic notifications that inform employees when a policy or a procedure gets modified, or a new document is added to the system. Furthermore, SharePoint can alert a policy manager when a certain policy needs to be revised or reissued.
Assessments: One of the most interesting features of SharePoint includes customized quizzes for employees to assess their policy knowledge. It can also lock the policy read until the employee completes the required assessment tests.
Quick policy creation, distribution, and retrieval
Being a collaborative enterprise platform, SharePoint supports the generation, publication, and distribution of policy content. It supports various content formats like Word documents, images, videos, and audio files. Below are some of the features that help streamline policy document creation and distribution processes:
Content template: Having a set template on various content types significantly eases up the process of creating new documents like renewed policies. SharePoint allows creating and storing custom templates to save time and maintain consistency while making new policies or updating the existing ones.
Real-time collaboration: SharePoint helps the leadership team with a digital collaborative platform to work on creating new policies and updating the current ones. As teams can work simultaneously in real-time, it reduces the time needed for policy finalization.
Workflows: Build custom, automated workflows for your SharePoint CMS using Power Automate to facilitate smooth approval processes for new policies. Leadership teams can design a new policy and share it across relevant departments for quick reading and approvals. Thus, it streamlines the overall policy life cycle with defined stages from start to finish.
Search: SharePoint speeds up the policy search by enabling search by policy titles, keywords, or even a part of the content. For big enterprises with numerous policies, employees can find the required policy document with SharePoint’s result by relevancy.
Leverage custom SharePoint development solutions for enterprise policy and knowledge management
A SharePoint-based content management system can add sophistication, customizability, and simplicity to your enterprise policy management systems. With a fully digital system that applies automation to reduce time and error, business leaders can focus better on core business activities while being supported by a robust policy system.
VBeyond Digital helps you make this process even simpler and cost and time-effective Microsoft 365 solutions to accelerate your enterprise policy management process.
