The Benefits of Digital Process Automation for Enterprises
Digital process automation is a crucial tool for modern enterprises looking to improve efficiency, reduce errors, and save time and resources. By automating repetitive tasks and streamlining workflows, businesses can free up their employees to focus on more high-value work and drive innovation. In this blog post, we delve into the many benefits of digital process automation for enterprises, including increased productivity, improved customer service, and cost savings.
Digital process automation (DPA) is a technology tool driven by a framework that uses artificial intelligence (AI) and machine learning (ML) to streamline processes, enhance customer interactions and maximize productivity. While many companies are still in the early stages of adopting DPA, some have already realized its value and reaped significant benefits from implementing this revolutionary technology.
What is digital process automation?
Digital process automation involves the use of pre-built software or customized solutions and connecting them with each other to enable a continue flow of tasks and data across multiple systems and teams. While business process automation or digital process automation has several levels of benefits, it is most commonly known to help businesses automate manual tasks, reduce costs, and improve productivity.
Digital process automation simplifies individuals’ jobs and that of overall teams by helping collaborate more seamlessly within teams and with other functions to work towards common business goals. A good example is Microsoft’s Office 365 Suite, which includes apps like Outlook and SharePoint, along with cloud versions of apps like Word and Excel that allow users to work together on shared documents online instead of sending files back and forth through email attachments. This can save time by eliminating the need for employees to send each other emails asking for updates or permission on projects.
When your team has access to the right tools, they can benefit from unparalleled levels of speed in undertaking their tasks without being preoccupied with accuracy since an automated system can be programmed to review them before triggering the next stage in the workflow. For example, if you create a process map outlining how one employee should complete a task before passing it onto another person within your organization who needs access but doesn’t have much experience completing similar workflows manually (or hasn’t done so recently), then once this new employee has been trained in how their role fits into this new workflow structure they’ll be able to begin working faster than ever before. They will no longer be confused or have any questions about what needs to be done next or where exactly their job fits into the overall scheme of things in the organization.
This can be especially valuable if your organization is dealing with a large volume of work that needs to get done in a short amount of time. For example, if you’re an HR manager and need to hire new employees as quickly as possible but don’t want to compromise on quality control or risk missing any important details during the hiring process, then digital process automation can help by providing templates for all the different kinds of documents needed for each stage in this process—from job descriptions and application forms all the way through interviews, background checks and more!
Benefits of digital process automation
There are several benefits to digital process automation that you, as a business owner or manager, should consider:
Improved customer experience. When customers engage with your business digitally, they expect a seamless experience. If a transaction takes too long or is too complicated for them to complete on their own, it’s likely that they will abandon the purchase process entirely and look elsewhere. By streamlining processes and automating tasks, you can make it easier for your customers to buy what they need and want from you in as little time as possible.
Reduced costs. While you may not be able to eliminate all costs associated with manual processes through digitalization alone—some tasks still require human interaction—many of the most expensive elements of running an organization can be automated with technology (e-commerce platforms like Shopify have lower running costs as compared to managing retail operations using only Excel or email). This means that once implemented correctly, many businesses will see significant reductions in overhead expenses over time as well as increased profits on each sale due to reduced staffing needs at each stage of production/delivery/support services offered.
Applications and use cases of digital process automation
Digital process automation is a form of business process automation that uses software to handle tasks that are traditionally performed by humans, such as collecting data, processing and analyzing it. Digital process automation can be used to improve customer experience, optimize business operations and reduce costs.
Examples of digital process automation include:
Using artificial intelligence (AI) to streamline customer support
Automating workflows with chatbots
Integrating data from multiple sources
Using analytics to predict customer behavior on web and mobile platforms
Digital process automation can be used in many industries including Manufacturing, Retail, Financial Services, Technology and Media, and business functions such as Marketing/Marketing Automation, Sales Support, Customer Service, Finance, and more. Automating workflow processes, such as those found in customer service and marketing helps to reduce errors and increase efficiency. This can be achieved by building tools that support business goals, such as increased sales or improved customer experience, and work seamlessly by integrating data from multiple sources.
In the marketing function, digital process automation can be used to generate leads and improve ad campaign performance. For example, a company could use AI-driven automation software to optimize its marketing campaigns by analyzing customer data and targeting customers with personalized ads. Examples of digital process automation in marketing also include automated email campaigns and personalized content. In sales, the applications of DPA can include lead scoring, automated email nurturing, and CRM integration, while in customer service, chatbots can help customers get answers to their questions faster.
For companies that want to truly leverage digital process automation for business success, they can do so through custom-built proprietary software that can offer more than any off-the-shelf software as a service (SaaS) product.
Conclusion
DPA is a form of “intelligent automation,” which uses machine learning to continuously improve itself and respond to changes in business processes. By using software to automate business processes, organizations are able to improve customer experience while reducing costs, improving compliance, and reducing errors. It also has the ability to learn from past mistakes, making it possible for companies to make processes and feedback systems smarter and adaptable to internal and external changes.
Digital process automation is an excellent way to meet customer needs, increase efficiency and cut costs by automating mundane tasks that would otherwise be handled manually. Digital process automation has been around for decades but it’s only recently that we have seen its potential realized thanks to advances in technology and artificial intelligence (AI).

Using SharePoint as your Knowledge Management System
Deploying SharePoint as an enterprise’s knowledge management system can help streamline the access to information for various departments and the processes they are associated with, leading to increased efficiency and reduced errors.
Many organizations must collect and process data at a great speed in order to drive critical business processes that generate revenue, and often require a powerful platform to do so. This is also why most leading organizations put having an effective Knowledge Management System (KMS) or data management capabilities among their top business priorities. Microsoft SharePoint, among other things, works as a powerful knowledge management system that not only integrates with other Microsoft solutions such Power BI, Word, Excel, etc. but also third-party platforms/tools for CRM, ERP, etc.
SharePoint can help you create an efficient knowledge management system for your teams that seamlessly works around your organization’s document management workflows to optimize them. So let’s take a look at the potential uses of SharePoint as your business’s primary knowledge management system.
What is a knowledge management system?
Knowledge Management Systems are a combination of IT tools to help organize, implement, and analyze the enterprise’s collective data generated both internally and externally. To put it simply, a KMS is all about optimizing the knowledge flow across the organization and processing it in a way that’s easily understood by all stakeholders.
In day-to-day business operations, an organization has to process a huge amount of data from internal and external sources and plan business strategies accordingly. Additionally, the decision has to be communicated effectively across all functional departments as soon as possible to make the right managerial decisions.
In the absence of effective data management or document systems, business data may exist in a disorganized, hard to access, and unsecured format. In such instances, the organization might end up wasting precious time and resources finding the right information at the right time, which allows competitors to fill in the gap. That’s why, implementing an efficient and reliable knowledge management system is important both from an internal process efficiency angle and as a competitive strategy.
Moreover, managing the hierarchy of information to be distributed is crucial to forming a synergy between various departments in an organization. An effective KMS built using standardized and robust document management and collaboration platform like SharePoint can optimize the information flow among internal teams for faster decision-making.
SharePoint as a knowledge management system
SharePoint has come a long way since its beginnings as a data storage and management platform for organizations. Today, it can utilize a plethora of Microsoft tools to create a comprehensive Knowledge Management System which can be customized for various business needs.
Today, more and more growing businesses are choosing SharePoint as a data management system simply because of the sheer simplicity of using it. SharePoint can also process a huge amount of dynamic data and present it in an easily understandable way in the form of flowcharts, spreadsheets, word documents, etc. This data can be further shared among the various business departments and aid collective decision-making. According to the data stored and analyzed, leadership teams can assign dedicated operations to the respective departments.
With that being said, here are various business operations where SharePoint Knowledge Management System can optimize your business.
1. Internal knowledge base
SharePoint can be used as a shared organizational source that can be used for storing and managing internal data. It’s a collaborative platform where any individual within an organization can store information in the system and access it to get the job done.
Data like this is often accessed through a company-exclusive intranet and websites which often requires secured login to access it. SharePoint creates a comprehensive internal data storage ecosystem where employees can add and update crucial data which can be accessed at any time for future use.
The volume of information generated internally is a vital asset for the company that drives important decisions. This could include updating company policies, planning the next sales or marketing campaign, assessing the current loopholes in the system and means to rectify them, and more.
2. Role-based access
The foundation of information flow can be determined by the hierarchy of your business structure. Whether your organization has a top-down or flat hierarchy within various departments, it determines what kind of information reaches at which level of management.
This is where role-based access comes in. Using SharePoint as your enterprise KMS, you can assign rules for access to data according to the nature of information and grant access to only those individuals who need that data. Enabling role-based access adds further security to crucial data through a login ID and password or other forms of multi-factor authentication.
3. Advanced data sharing
As mentioned before, one of the biggest strengths of SharePoint lies in its ability to efficiently store, classify, and manage a variety of data and document types, and making it accessible to the right person(s) within an organization whenever necessary. This data can be in the form of a word document, Excel spreadsheets, PowerPoint presentation, PDF, and even multimedia like videos and podcasts.
SharePoint segregates the data input according to the file format and context of the data, making it easily accessible using the right keywords or through relevant tags assigned to documents. Moreover, people can interact with the data in real-time, thus creating a collaborative work environment. For instance, many people can work on a single file such as a PDF or a slideshow and give real-time feedback for faster turnaround time. Additionally, people within the organization can also share information in the form of videos and podcasts to get latest insights which can further improve the project quality in an engaging way.
Adapting to a dynamic business environment
The global work culture has changed drastically in the last year. As a large number of companies across the globe prioritize enabling employees to work from home, they also need to provide them an efficient digital infrastructure that allows a seamless and secure flow of information. Not only can collaboration tools such as SharePoint or Microsoft 365 reduce the cost of building and maintaining complex document management systems and workflows, but it also reduces the superfluous costs incurred on repetitive tasks and broken workflows due to errors.
In this scenario, the role of the knowledge management system becomes even more important as the information traveling throughout the organization isn’t limited to one office space. Creating a global knowledge management ecosystem will streamline the business operation so that work can be done effectively and efficiently through various sources.
SharePoint offers highly customizable and advanced document management capabilities, sorting complex information inflow, processing it in a simplified manner, and making it available to the right people no matter where they are. For businesses operating remotely, it is more important now than ever to incorporate SharePoint to keep up with the changing work environment and gain a significant competitive advantage with the right tools.
Additional benefits of SharePoint as a KMS
Apart from being an ideal knowledge management system of the new era, SharePoint can also be used to streamline various business functions that require little to no human involvement.
Perhaps the biggest strength of SharePoint is its ability to analyze data and create customized workflows. It further helps drive increased efficiency by restructuring the information hierarchy for maximum productivity and faster turnaround on processes. More importantly, SharePoint can be used to create a robust communication and feedback loop connecting departments such as HR, marketing, finance, etc., thus helping streamline processes and audits.
And it doesn’t stop here. SharePoint also helps tremendously in support functions like customer relationship management by processing previous customer interactions and predicting the next purchase cycle. Also, SharePoint helps in creating a collaborative workspace that enables employees to access the data and work on it anytime, anywhere.
To sum it up, SharePoint has the potential to be a one-stop solution for managing multiple interconnected business processes through efficient knowledge management and distribution. When deployed effectively and in conjunction with other Microsoft solutions such as Power BI or Power Automate, SharePoint can empower businesses to make smarter, data-driven decisions and improve the bottom line.

Office 365 and Office 365 consulting services have outshined in the digital workplace sphere to become the top solutions to all your remote workplace woes. Are you contemplating upon opting for the Microsoft Office 365 services? Read on.
The Rise of a Professional Emergency: O365 to the Rescue
With millions of people resorting to Remote Work in a jiffy, Covid-19 brought about a sudden but technologically advanced change to the professional world as a whole. This in turn has aided in the formulation of flexible work from home policies that meets the basic requirements of the employees while keeping the organizational interests intact as well. This transition started as a forceful defense strategy against the coronavirus but has paved its way to the good books of many organizations now. The reduced capital charges such as office premise rent, zero charges for electricity and other essentials, etc. makes the option to go permanently remote a smart choice.
While Work from Home is quite effective to tackle the problems such as restricted commute and ensures much safety, it poses a multitude of adversities on the running of these IT firms as well, if not handled well. These effects range from simply missing out one on one interaction between the team members to missing out on important client meetings that might lead to irreversible losses if not handled properly. O365 and office 365 consulting services proved to be a great aid to the organizations during this profession crisis.
The COVID-19 Aftermath: Office 365 to Aid Permanent Remote culture
While going back to the office possesses the same excitement level, many would like to resort to permanent remote too. Adapting to this new work culture might be a bit unclear but surely has great potential.
The organizations can utilize this great opportunity to come up with highly effective plans by leveraging powerful business tools to help in normalizing this work culture. A permanent work from anywhere can literally bring in a great variety in the workforce with talents around the world.
Remote Workplace Resolve: Literally Work From Anywhere
Irrespective of an organization’s decision to remain entirely remote or optionally remote after the pandemic, here are some of the Office 365 services that can be leveraged upon to take up your digital transformation journey to absolute success.
Microsoft Office 365 Consulting Services

SHAREPOINT MIGRATION SERVICES
Working in office since ages had kept the compulsion of moving from on-premise to cloud adjustably variable. But with the whole workforce scattered to different parts of the country and world as well, on-premise loses its importance as a whole. If you wish to keep your business moving, moving to online platforms such as O365 and SharePoint or upgrading to a better version has become inevitable. The organizations should handle such necessary conditions with precision.
Not only the Switch from on-prem to SharePoint online, SharePoint migration from an older SharePoint version to the latest one too can have a significant effect upon your business growth.
If we wish to keep up in this competitive environment, we need to keep upgrading our organizational assets. SharePoint evolves every once in a while and keeps on adding many new features in it with every release. Few features such as InfoPath forms are on the verge of extinction as well. Therefore, SharePoint migration is a necessity.
Since SharePoint Migration is a very complex and time taking process, it’s always an appropriate choice to tag up with a partner and opt for their migration services that take the hassle away from the process to give you a perfect migration experience.
DIGITAL WORKPLACE SERVICES
The worst issue with Remote Work is the restricted interaction among the team members that might cause a lack of clarity and coordination. This in turn leads to lower productivity. Digital Workplace platforms such as a SharePoint intranet or Microsoft Teams are the best choices to suffice as the Virtual Interacting Platform for the employees. This knits them together even when functioning from far away.
A digital workplace provides state of the art solutions to digitally transform your organizational communication strategically. This boosts your employee engagement by acting as the engaging, interactive, and connecting link between the employees in an organization. A perfectly customized digital workplace that adheres to your organizational needs reflects the interests of the employees as well as the management by virtually creating an environment which can give a boost to the work culture.
Office 365 Intranet solution
An Office 365 intranet is a great solution to enhance collaboration, connectivity and document management. It lets you build an Intranet that perfectly fits your organization’s infrastructure and requirements.
It also offers personalization where each employee can maintain their personal dashboards that would be in accordance with their topics of interest and importance.
The mobility offered by the modern intranets helps them stand out by letting anyone literally work from anywhere on any device.
Extranet Solutions
While intranet is important for internal communication, maintaining an extranet is a must as well to be connected to the leads, vendors, partners and customers. A good connecting link among all the external stake holders ensures the continuity of your business just like the pre-pandemic days. It is therefore wise to set up a fast and secure external connectivity and resource-sharing portal with a sophisticated and user-friendly Extranet solution.
SharePoint Knowledge Management
While the SharePoint might hold an incredible volume of data, the permission to access them might be limited. Now, there comes multiple occasions when you need to share any information with a partner, colleague or client. SharePoint Knowledge Management is a great solution in such cases. It allows you to securely share your data with ease to amplify your business growth.
Product/Solution Catalog
Cataloging is the very first step if you are planning to sell anything, be it a product or a service. It acts as the first bait to your leads that either proceeds to a successful conversion or a failed deal. Therefore, Cataloging must be done with extra care and precision. It is a good practice to maintain a detailed description concerning all your products on a single, secure platform in the form of a Product Catalog. Always rely on a trusted service provider to design a centralized, user-friendly catalog to better manage your products.
Purpose-Built/Custom Portals
Every organization has different needs and the same goes true for each departmental unit of an organization as well. Bridging the communication gaps and facilitating resource sharing within the organization or a particular department of the organization with customized features can be a great digital resource to invest in. Get these advanced custom portals built that serves uniquely to your organization.

Reasons Why You Need a SharePoint Governance Policy
Understanding the importance of a SharePoint governance policy based on its usage in the company To conclude, the SharePoint solution is a powerful tool that has demonstrated its worth in various industries. Microsoft has also stepped up its game by improving the tool's built-in governance and privacy compliance. However, as the amount of data in SharePoint expands, a progressive governance policy that can handle and support the tool's built-in functionality becomes necessary.
As SharePoint usage grows, the pace, diversity, and volume of information and material created inside are becoming a significant barrier necessitating the automation of SharePoint governance. These barriers not only impede users from getting to the correct file on time and efficiently, but they also put the company's IT, privacy compliance, and resources at risk. Meanwhile, as the demand for this comprehensive solution grows in our everyday lives for various purposes such as portal collaboration, document management, and search, the barriers continue to rise. Simultaneously, setting up a SharePoint governance policy is difficult due to its complexity, and it begs the issue of whether it is genuinely essential.
This may be deduced from an awareness of the organization's SharePoint use. SharePoint governance policy can be complex or straightforward, depending on how extensive the use will be. Most users are expected to use essential features such as document management and group/team sites. For such limited usage, the governance may also be relatively rudimentary. On the other hand, adopting SharePoint at the organizational level improves productivity and helps achieve business goals. This implies a change in user behavior, making SharePoint usage more complex and necessitating improved SharePoint governance.
Understanding the complexity necessary for SharePoint governance is one thing; comprehending why governance is essential is quite another.
You see, the content flow should follow a defined life cycle, which includes managing an increasing number of sites, storage, and total content. An overabundance of material besets most businesses; most of it is repetitive. But where does one save this information? Who knows how long it will last? Yes, SharePoint provides the technology to address these issues, but the material on SharePoint can only be managed effectively with governance.
Another aspect that can only be handled by governance is data quality. SharePoint can store data, but who is ultimately accountable for its accuracy? Governance aids in the assignment of owners, which is essential for SharePoint optimization.
That's only the tip of the iceberg, though. Failure to set restrictions defining storage limitations might result in unexpected data expansion, causing the platform to operate slower and reduce efficiency. On the other hand, SharePoint governance may assist define storage boundaries by user or team, allowing for better space management starting from the individual level.
Data stewards are in charge of keeping content up to date and assuring its quality. If there is a substantial amount of out-of-date, erroneous, or inappropriate content in SharePoint, its perceived value drops. Worse, this fosters skepticism, which stifles user adoption, developing a vicious cycle that is incredibly difficult to break.
The SharePoint governance policy should specify which SharePoint features are accessible to developers. All Service Applications are included, including Performance Point, Excel Services, InfoPath Form Services, SQL Server Reporting Services, etc. The supported services should be communicated to developers and operational workers. Because, in the case that a developer or vendor requests a possibly unavailable feature, the governance policy will decide the mechanism for assessing, authorizing, and implementing the new feature.

The Future of Microsoft 365 Governance in 2022
The focus on governance issues around Microsoft 365, OneDrive, SharePoint Online, Teams, and Power Platform is rising. Businesses agree that there is a heightened risk to data confidentiality and security with the shift to remote work.
Among the most significant threats are the uncontrolled sprawling of SharePoint sites, and Teams and Microsoft 365 groups.
There is a high possibility that the organizational systems, processes, and data could be compromised because of a lack of governance and control.
While Microsoft Office 365 does have in-built controls, there are areas where there is scope for better management. Third-party tools have now entered the market to fill this need.
What customers need
Governance needs are rising across Microsoft 365; it is required to manage and control the creation of SharePoint Sites, Teams, M365 Groups, Flows and apps. It is essential even for OneDrive as a security measure to thwart potential breach of access or permission. In principle, customers are looking for governance solutions which provide consistency, reusability, and standardization in the organization, along with data security and control over processes.
Eliminating duplication by streamlining through governance and control over processes
SharePoint’s site creation is a core feature; however, without adequate governance and training, users can end up having multiple sites in the absence of control or tracking. Similarly, in Teams, the chances of multiple teams being created is very real. The duplication of teams and sites can obfuscate real work and hinder data quality and reliability.
Enhancing consistency, reusability, and standardization through governance and best practices
Among the asks is the need for clear templates, layouts, and consistency in maintaining the brand image and ease of use while making systems unambiguous.
In the absence of templates, different departments may refer to the same data or process with other terms, resulting in confusion, duplication, and a waste of time and effort.
The solution lies in creating fixed templates that help collaboration and communication across departments without confusion over terms and names. Color themes and branding issues are also addressed through templates and establishing best practices that ensure consistent behavior across the organization.
Strengthening data security through configurable and monitored permissions
Across businesses, processes generate data which they share – internally and externally. And this must be done safely and securely. So when processes are built with checks and controls, data is protected.
Permissions, authorizations, and tracking of activities are vital to creating a secure environment. This helps keep the site and team creation getting out of hand. With a rise in data sharing- internally and externally, with limited powers- permissions take on a critical role. It is essential to ensure data confidentiality and prevent data leaks or breaches of any kind- unintentional or otherwise.
Among the popular third-party tools in use are products from Powell, AvePoint, and Sharegate. Let’s look at the offerings to identify the best fit for an organization to augment its Microsoft 365 with an additional governance tool.
Powell
Powell offers Powell 365, an Intranet, and Teams offering with an additional governance tool. The tool is a good solution with a user-friendly UI. Additionally, the Powell license provides the option to view third-party app data on the SharePoint site. It comes with a dashboard that provides a single glance insight into permissions, new site creation, and general management. Powell is user-friendly, has a great UI, allows provisioning and tagging.
ShareGate
Sharegate offers Apricot, a governance tool that comes free with it. While the basic version is free, the biggest drawback is that it doesn’t allow provisioning. Users cannot create new teams. The dashboard, however, is good and shows existing teams and essential information.
AvePoint Myhub
AvePoint’s Myhub is a popular governance tool. However, users have expressed hesitation over the steep learning curve required to use this tool effectively.
Why a custom solution could be best for your business
There are some obvious drawbacks to each of these solutions which a custom solution can overcome.
Reason#1 The Cost Factor
First and foremost is the cost involved. Neither Powell nor AvePoint comes cheap. The annual fees will set you back by 60k to 100KUSD per year. Sharegate Apricot, while offered free with the license, comes with certain limitations.
A customized solution can be yours at half the cost.
Reason #2 Lack of Customization
Any off-the-shelf solution cannot be perfect. Clients have certain specific requirements that these solutions cannot always meet. For instance, one business might want to accommodate ServiceNow tickets directly on SharePoint; another could want Zoom and Channel threads integrated onto their site.
Customized governance products can accommodate these requests while ensuring data remains safe. Organizations can share their requirements, and a customized solution can be built with all governance issues taken into account.
Reason #3 Control over your data configurations
A major drawback with third-party tools is that all configurations remain with the third-party solution. This means that if a customer leaves or wants to switch providers, they lose all the configurations, such as tags and naming conventions. The teams live in the customer tenant but will no longer have access to the configuration
The most significant advantage when you get a custom-built solution is that you maintain complete control over all aspects of the solution.
In a nutshell, what can clients expect to get from a customized governance tool?
A business can get all the features that standard tools offer and more, with a customized tool. What they can expect is a:
Complete governance tool that provides full visibility into users, permissions, actions taken
Solution with web parts that allow third-party integration if required
Modern navigation that is user friendly and intuitive
Dashboard with all relevant information presented as graphs, tables, or as required by the customer
Global administration view displays details such as what is happening in each team and who is tagged.
Inbuilt or configurable rules such as for nomenclature to ensure naming convention is followed
Automation is used to enhance control and ensure approval protocol is followed
Notification on activities by Bots
Reports generation

8 ways to increase employee engagement with an Employee Hub on Office 365
Over the years, the role of employee engagement at organizations has been evident. The Corporate Leadership Council reports that “Engaged employees are 87 percent less likely to leave an organization.” In addition, the companies who have employee engagement strategies and the tools in place, reportedly record low levels of absenteeism, quality issues, safety issues and theft at the workplace.
The engaged workforce is loyal, productive and self-driven and contributes towards growing revenues and increasing customer satisfaction.
Yet employees at many organizations loose hours of productivity doing time-consuming tasks such as — searching for documents, printing and mailing information, completing forms, executing manual processes, finding help, and so on.
Office 365 is the leading provider of numerous productivity tools; and a comprehensive, ready-to-go intranet brings Office 365 tools together turning it into an ‘Employee Hub.’ It helps create an ecosystem that not only connects your employees but also seamlessly manages every aspect of your business. Its intuitive and easy-to-use features are highly engaging and make your employees’ work lives simpler, increasing engagement levels like never before.
Here are the 8 ways you can better drive and engage your staff with an Office 365 Intranet:
1. Simplicity
Microsoft has been leading the way in the enterprise collaboration space. Many solutions based on the SharePoint platform or on Office 365 are available out-of-the-box. The reason companies are increasingly adopting these solutions is that they come with several built-in features that you can start using — after a few, quick tweaks — right after installation.
However, some products offer a variety of customizations which make the solution complex and overwhelming to its users, thus deterring rather than engaging the employees.
Complexity certainly has its time and place, but it is usually most effective to have a digital workplace which is simple, concise, and easy to navigate.
An Intranet on Office 365 is built with a simple and clean design which is easy to get around. It works far more efficiently than a solution that is packed with advance capabilities, tools and complex navigation. It’s flexible and offers all the basic features one needs to be productive.
2. Gamification
Your digital workplace can be as interesting as you make it. Corporate and internal communications will always be at the forefront of a digital workplace, but Office 365 offers numerous capabilities to serve much more than just a collaboration platform to access information, documents, and communications.
An Intranet on Office 365 can offer fun ways to engage more users. You can turn work into play with exciting contests that motivate and engage employees. You can also add rich content such as videos, photographs, social streams, and surveys to get the conversations started and facilitate a flow of ideas.
Further, you can have your employees participate in individual and team-based competitions that motivate them to achieve certain pre-defined goals by offering prizes, awards, privileges, and recognition.
By implementing the above ideas, you can turn your intranet into an ‘Employee Hub’ your employees will want to visit for fresh, updated content, and spend their work day there knowing they have all the tools they need to be productive.
3. Self-Service approach
Your digital workplace can be more rewarding when it saves your user’s time. Along with offering excellent search capabilities, it should also be user friendly and intuitive so that users can operate functionality without depending on others, such as your HR and IT staff.
With tools like knowledge base, in-context help, and short training videos, your employees can find answers, explore tools on their own, save time, and feel more connected, engaged and driven.
Enable the following self-help tools on your Office 365 Intranet to create a better engaged workplace:
* Replace commonly used (manual) forms with digitized and automated forms.
* Publish news & announcements, policies & procedures on the intranet rather than sending emails, which can get buried.
* Create an FAQ to address commonly asked questions and add to it as required.
4. Smarter Workflows
Manual processes are time-consuming and error prone. Automating manual, paper-based processes — like form and document approvals — saves time by preventing your users from doing tedious and repetitive tasks.
An Office 365 Intranet offers automated business processes that replace manual methods of data entry with intelligent workflows. It enables validated information to be automatically collected and stored in a database, from where all kinds of reports can be run. It seamlessly automates simple to complex multi-stage workflows and approvals like inventory updates, formula reviews in a manufacturing unit, general approvals from your manager or HR, and can automate workflows brought from different systems, such as ERP, CRM, Sales and Finance and so on.
5. Easy Collaboration
It is estimated that by 2020 millennials will constitute 80% of the global workforce. Young employees are the driving force behind any organization’s success. They are energetic, innovative and self-driven but also have high expectations for the work style and technology tools offered. This paradigm shift brings new challenges and opportunities for companies and makes it critical for them to transform their current work style and make it more technology driven — to attract fresh, young talent.
Office 365 is the leading productivity suite that provides useful and more efficient tools and applications to connect, engage and work together. An Intranet on Office 365 is a connected and collaborative ecosystem that offer tools for teamwork like team sites for cross-team communications, tasks execution, and document libraries for co-authoring and updating content. It is a place where people can connect through chat and instant messaging tools, be notified of changes on tasks, documents, etc. in real-time. It seamlessly integrates with your email applications to notify staff of changes to documents or news that they are following.
6. Mobility
Today’s workforce is becoming more scattered and distributed. According to research conducted by GlobalWorkplaceAnalytics.com, approximately 3.7 million U.S. employees work from home at least half the time, and employees are not at their desk 50–60% of the time.
It has become more and more important for companies to provide the tools to accommodate its ever-growing mobile workforce needs, to improve business productivity and stay in line with the competition. The ability to work remotely, have flexible hours, use a device of their choice allows employees to work across time zones. With anytime and anywhere access, responsiveness and availability across devices as key features, an Office 365 Intranet can play a vital role in your mobile roadmap. It connects your remote teams and gets everybody on the same page while also employing enterprise-grade security.
7. Everything Centralized
Your Office 365 Intranet is a central place for all your work-related communications. It brings all your business processes in one central location. So instead of using separate applications for your email, document authoring, project management, forms processing, and collaborating; it makes everything available on your intranet.
It is also capable of integrating with external business applications so you can connect to your existing apps from the intranet portal, while still maintaining the single sign on feature.
8. User Feedback
Just because you implemented a new workplace solution which is supposed to save time and increase productivity, doesn’t mean your employees share your enthusiasm and jump into using the product.
Nobody likes change, even if it makes things simpler.
Make sure you’ve spent time interviewing some of your key users to understand how they work and what their pain points are. Then, when you introduce the intranet highlight how it is going to benefit them. Give them examples by comparing some activities they do currently and show them how quick and easy it will be on the intranet.
It is also a good idea to have a place on the intranet where users can give their feedback and make suggestions. These are very valuable in enhancing the solution, making your users feel heard, and giving them what they need.

Harness the power of Microsoft SharePoint for better teamwork & collaboration
What is meant by SharePoint development? What is the programming language for SharePoint? How does outsourcing to a SharePoint development company work? How long does it take to implement SharePoint development solutions?
Any business, large or small, can greatly benefit from a smart technology solution that enables better teamwork and collaboration among its employees across different verticals. That’s where Microsoft SharePoint comes in. The features of Microsoft SharePoint are focused around an intranet-based cross-collaboration experience that allows for easy-to-use secure sharing, workflow collaboration, and content management features among several others.
An introduction to Microsoft SharePoint
Microsoft SharePoint is an intranet-based collaboration system that makes use of workflow applications, list databases, and other web parts & security features to enable business teams to work better together. SharePoint also allows the company using the platform to control access to information and automate workflow processes across verticals within the organization.
SharePoint Online is the Microsoft Cloud version of SharePoint, which has several additional integration abilities with other cloud-based applications. It is functionally paired with several other offerings that Microsoft packages with an Office 365 or Microsoft 365 license.
What is Microsoft SharePoint used for?
There are several stand-out features in the SharePoint platform that make it easier for people to collaborate on projects and establish & maintain standard business processes for information sharing, recording data, and document publishing.
Convenient features like co-authoring, security controls, versioning, and integration with Microsoft Exchange give business users the ability to achieve more by making the best use of their time, while maintaining the integrity & quality of the work they produce.
Microsoft SharePoint allows for the following functionality:
Require an approval on documents before they are made visible
“Check out” documents to prevent any further authoring or editing
Notifications when documents are uploaded or when changes are made
Make workflows using “if/then” logic to automate actions such as moving or emailing documents, and information recording
All these features enhance the productivity & efficiency of business users. The feature that really sets Microsoft SharePoint apart from other document collaboration systems is its ability to display information about what documents are stored and why
With SharePoint it is very simple to require that metadata, or information about particular data, is furnished, so that everyone involved can better understand the reason for a certain document to exist and the importance of the document even before opening it. SharePoint also allows users to craft custom databases in an easy-to-use format, and record huge chunks of information that can be integrated into the workflows or into other business processes.
SharePoint Apps
SharePoint Apps are integrations that add additional features to standard collaboration spaces on the SharePoint platform. While some apps are made available with the platform, there are several others that add features and options that are not part of the regular SharePoint platform. For example, these could include a library where business users can store and share documents, calendar plug-ins, or powerful workflow apps which enable repeatable logical actions in Microsoft SharePoint with ease.
Custom SharePoint Development
The beauty of Microsoft SharePoint is that it is an extremely versatile development platform that allows for building customized client-side components, add-ins and solutions with different scopes that address a wide variety of needs. The SharePoint developer documentation is a helpful guide that takes you through the features, technologies, capabilities, and models for development that set Microsoft SharePoint apart as an excellent development platform.
Custom SharePoint Development involves the building of customized SharePoint solutions and apps, and also individual features like workflows, site templates, and more, depending on the unique needs of any organization.
