Generative AI tools such as OpenAI’s ChatGPT and Microsoft’s Copilot are rapidly evolving, fueling concerns that the technology could open the door to multiple privacy and security issues, particularly in the workplace.
In May, privacy campaigners dubbed Microsoft’s new Recall tool a potential “privacy nightmare” due to its ability to take screenshots of your laptop every few seconds. The feature has caught the attention of UK regulator the Information Commissioner’s Office, which is asking Microsoft to reveal more about the safety of the product launching soon in its Copilot+ PCs.
Concerns are also mounting over OpenAI’s ChatGPT, which has demonstrated screenshotting abilities in its soon-to-launch macOS app that privacy experts say could result in the capture of sensitive data.
The US House of Representatives has banned the use of Microsoft’s Copilot among staff members after it was deemed by the Office of Cybersecurity to be a risk to users due to “the threat of leaking House data to non-House approved cloud services.”
Meanwhile, market analyst Gartner has cautioned that “using Copilot for Microsoft 365 exposes the risks of sensitive data and content exposure internally and externally.” And last month, Google was forced to make adjustments to its new search feature, AI Overviews, after screenshots of bizarre and misleading answers to queries went viral.
Overexposed
For those using generative AI at work, one of the biggest challenges is the risk of inadvertently exposing sensitive data. Most generative AI systems are “essentially big sponges,” says Camden Woollven, group head of AI at risk management firm GRC International Group. “They soak up huge amounts of information from the internet to train their language models.”
AI companies are “hungry for data to train their models,” and are “seemingly making it behaviorally attractive” to do so, says Steve Elcock, CEO and founder at software firm Elementsuite. This vast amount of data collection means there’s the potential for sensitive information to be put “into somebody else’s ecosystem,” says Jeff Watkins, chief product and technology officer at digital consultancy xDesign. “It could also later be extracted through clever prompting.”
At the same time, there’s the threat of AI systems themselves being targeted by hackers. “Theoretically, if an attacker managed to gain access to the large language model (LLM) that powers a company's AI tools, they could siphon off sensitive data, plant false or misleading outputs, or use the AI to spread malware,” says Woollven.
Consumer-grade AI tools can create obvious risks. However, an increasing number of potential issues are arising with “proprietary” AI offerings broadly deemed safe for work such as Microsoft Copilot, says Phil Robinson, principal consultant at security consultancy Prism Infosec.
“This could theoretically be used to look at sensitive data if access privileges have not been locked down. We could see employees asking to see pay scales, M&A activity, or documents containing credentials, which could then be leaked or sold.”
Another concern centers around AI tools that could be used to monitor staff, potentially infringing their privacy. Microsoft’s Recall feature states that “your snapshots are yours; they stay locally on your PC” and “you are always in control with privacy you can trust.”
Yet “it doesn’t seem very long before this technology could be used for monitoring employees,” says Elcock.
Self-Censorship
Generative AI does pose several potential risks, but there are steps businesses and individual employees can take to improve privacy and security. First, do not put confidential information into a prompt for a publicly available tool such as ChatGPT or Google’s Gemini, says Lisa Avvocato, vice president of marketing and community at data firm Sama.
When crafting a prompt, be generic to avoid sharing too much. “Ask, ‘Write a proposal template for budget expenditure,’ not ‘Here is my budget, write a proposal for expenditure on a sensitive project,’” she says. “Use AI as your first draft, then layer in the sensitive information you need to include.”
If you use it for research, avoid issues such as those seen with Google’s AI Overviews by validating what it provides, says Avvocato. “Ask it to provide references and links to its sources. If you ask AI to write code, you still need to review it, rather than assuming it’s good to go.”
Microsoft has itself stated that Copilot needs to be configured correctly and the “least privilege”—the concept that users should only have access to the information they need—should be applied. This is “a crucial point,” says Prism Infosec’s Robinson. “Organizations must lay the groundwork for these systems and not just trust the technology and assume everything will be OK.”
It’s also worth noting that ChatGPT uses the data you share to train its models, unless you turn it off in the settings or use the enterprise version.
List of Assurances
The firms integrating generative AI into their products say they’re doing everything they can to protect security and privacy. Microsoft is keen to outline security and privacy considerations in its Recall product and the ability to control the feature in Settings > Privacy & security > Recall & snapshots.
Google says generative AI in Workspace “does not change our foundational privacy protections for giving users choice and control over their data,” and stipulates that information is not used for advertising.
OpenAI reiterates how it maintains security and privacy in its products, while enterprise versions are available with extra controls. “We want our AI models to learn about the world, not private individuals—and we take steps to protect people’s data and privacy,” an OpenAI spokesperson tells WIRED.
OpenAI says it offers ways to control how data is used, including self-service tools to access, export, and delete personal information, as well as the ability to opt out of use of content to improve its models. ChatGPT Team, ChatGPT Enterprise, and its API are not trained on data or conversations, and its models don’t learn from usage by default, according to the company.
Either way, it looks like your AI coworker is here to stay. As these systems become more sophisticated and omnipresent in the workplace, the risks are only going to intensify, says Woollven. “We're already seeing the emergence of multimodal AI such as GPT-4o that can analyze and generate images, audio, and video. So now it's not just text-based data that companies need to worry about safeguarding.”
With this in mind, people—and businesses—need to get in the mindset of treating AI like any other third-party service, says Woollven. “Don't share anything you wouldn't want publicly broadcasted.”

ChatGPT, the artificial intelligence-powered chatbot, breaches rules on data protection, an Italian watchdog says.
An inquiry by Italy's Data Protection Authority (DPA) found data privacy violations, which the BBC understands are related to collecting personal data and age protections.
The chatbot relies on being fed large amounts of data from the internet.
ChatGPT's maker OpenAI has 30 days to respond with its defence. The BBC has contacted OpenAI for comment.
Italy has taken a firm stance on data protection when it comes to ChatGPT.
It was the first Western country to block the product in March 2023, citing privacy concerns.
ChatGPT was reinstated around four weeks later, after stating it had successfully "addressed or clarified" the issues raised by the DPA.
Italy's DPA launched a "fact-finding activity" at the time, which it says has now found data privacy violations.
In a statement, the DPA said it "concluded that the available evidence pointed to the existence of breaches of the provisions contained in the EU GDPR [General Data Protection Regulation]".
They are related to mass collection of users' data which is then used to train the algorithm.
The regulator is also concerned that younger users may be exposed to inappropriate content generated by the chatbot.
Under the EU's GDPR law, firms which break the rules can be fined up to 4% of the company's global turnover.
Italy's DPA works alongside the European Union's European Data Protection Board - which set up a special task force to monitor ChatGPT in April 2023.
At the time of ChatGPT's reinstatement in Italy in April 2023, the Italian regulator told the BBC that it "welcomed the measures OpenAI implemented" but called for even more compliance.
In particular, a spokesperson said, it wanted more action around "implementing an age verification system and planning and conducting an information campaign to inform Italians of what happened as well as of their right to opt-out from the processing of their personal data for training algorithms".
An OpenAI spokesperson said at the time that it would continue talks with the regulator.
OpenAI has close links with tech giant Microsoft, which has invested billions of dollars into the company.
Microsoft has integrated AI into its Bing search engine, as well as its Office 365 apps such as Word, Teams and Outlook.

Some more info from someone who's managed to remove Copilot from my PC entirely -
REMOVING FROM DESKTOP
What the Op mentioned of "disable it by going to Options -> click on Copilot -> uncheck 'Enable Copilot'" for the different MS Office Apps, sadly didn't work for me as my I have the MS Office Professional Plus package of desktop apps from 2021 (and it was pirated to begin w), where this option doesn't exist at all under "Options" in the menu.
STEP 1, RESOLVED: I had to run through the second option OP suggested
"In your app (for example, PowerPoint), go to File > Account > Account Privacy > Manage Settings.
- Under Connected experiences, clear the Turn on experiences that analyze your content checkbox.
- Select OK, and then close and restart the app."
- JUST FYI - this works only if you open each app separately and you're opening the app start window, and not an actual file, ie doc, ppt, etc. IF (for whatever the reason, I had an earlier pirated version that never would) you can only open docs and not the app start menu, you can still find these option via:
- Open Document -> File -> Account-> Follow Steps above
OR
- Open Document -> File -> Options -> Trust Center -> Trust Center Settings -> Privacy Options -> Privacy Settings -> Untick ALL "Connected Experiences" and "Optional Diagnostic Data" -> Click OK (all the way through the open windows) -> Back in the main File, Close down and Restart the File/App.
STEP 2
- On your Laptop/Desktop -
Click on the Windows/Start Icon -> Click on System Settings Icon (if it doesn't appear, look it up in the search) -> Apps -> Go through the list or search for Microsoft Copilot -> Click on the three dots on the right hand side -> Click Uninstall -> Run Uninstall
- NB - I first tried via "Control Panel" -> Programmes and Features, but for some reason Copilot didn't appear on the list, even tho other Microsoft Apps do, so I had to go through System Settings instead. Now the only thing which should be left is something called "Copilot Hardware Choice" which is about setting up smart keys and if you've never enabled or used it, you can leave it out.
- If you're really diligent and don't mind only saving stuff locally, or doing manual back-up, you can also go into your Firewall and independently block internet access for all and any MS Office Apps
- Restart your computer.
REMOVING FROM OFFICE 365 ONLINE
STEP 1
There is no way to do this in any MS Office Web app, Doc or File, or from the main Office 365 page, where all the apps are laid out together.
- You need to log into your MS Account at https://account.microsoft.com/
- Go to Service / Subscriptions -> There you will see that your account has been upgraded (mine was without asking from 5.99£ to 8.99£) to something called "Microsoft 365 Personal" -> On the right hand side click on "Manage" -> Hit Unsubscribe / Cancel Subscription -> In a new box, they'll ask whether you want to keep your "Personal Subscription" with AI powered tools, or revert to "Microsoft Personal Classic" with all your old features, except AI -> Select that option -> Now, under "Subscriptions" it should say "Switches to Microsoft 365 Personal Classic for (whatever the amount is in your country) on (whatever the date is for your next payment cycle).
- Mind you, Copilot will still be available in your docs and all MS Office apps online, UNTIL the current payment cycle is finished, and the subscription reverted.
STEP 2
- Go back into your MS Account main page -> Go to Privacy -> Apps and Services -> Review your app and service data -> Show all activities -> If Copilot appears anywhere, you can download all your data and then clear those activities -> You can also hit "Clear app and service performance data" if again Copilot appears
- Go back to Privacy -> Under App Access -> For me it is blank because I've never allowed them to gather my info, but if you have and Copilot appears here, you can restrict access and clear your data
- Privacy -> Copilot -> Delete all activity history
- Once this is done, as long as you don't open or use Copilot in your Apps/Docs online, by the end of the subscription when it will revert to "Classic", you should be fine and won't have to delete any data again.
Though I imagine the steps would be fairly similar for Apple/Google products, I am unfortunately not one and have not had to charge into this specific battle yet.
Nevertheless, I hope this helps people. If you happen to find any other useful tips and tricks, by all means pls share them here also. Good luck!
It is with the deepest frustrations that I must report Microsoft has pushed out Copilot onto Microsoft Word no matter what your previous settings were. If you have Office because you paid for it/are on a family plan/have a work/school account, you can disable it by going to Options -> click on Copilot -> uncheck 'Enable Copilot'.
(Note, you may not see this option if you haven't updated lately, but Copilot will still pop up. Updating should give you this option. I will kill Microsoft with my bare hands.)
In addition, Google has forced a roll-out of it's Gemini AI on all American accounts of users over 18 (these settings are turned off by default for EU, Japan, Switzerland, and UK, but it doesn't hurt to check).
To remove this garbage, you must go to Manage Workspace smart feature settings for all your Gmail/Drive/Chat and turn them off. Go to Settings -> See all settings -> find under "Genera" the "Google Workspace smart features" -> turn smart feature setting off for both Google Workspace and all other Google products and hit save. (If you turned off the smart settings in your Gmail, it never hurts to open Drive and double-check that they're set to off there too.)
Quick Edit: I found the easiest way to get to the Smart Feature settings following the instructions above was to do it through Drive. Try that route first.
Now is the time to consider switching to Libre Office if you haven't already.

What is Slack? A Beginner’s Guide to Team Communication and Collaboration
Effective team communication is crucial for businesses to maintain productivity and efficiency. One of the most popular tools in this space is Slack, which offers a seamless way for teams to collaborate, share files, and stay connected in real time. But what is Slack exactly? How does its pricing work, and what are some Slack alternatives? Let’s dive into the details.
Tumblr media
What is Slack?
Slack is a team communication and collaboration tool that enables businesses to streamline their workflows. It replaces traditional emails with organized channels, instant messaging, and integrations with third-party apps. Whether working remotely or in an office, teams can use Slack to enhance productivity through features like:
Channels: Create public or private channels to categorize discussions based on projects, teams, or topics.
Direct Messaging: Communicate privately with colleagues for quick updates.
File Sharing: Upload and share documents, images, and links effortlessly.
Integrations: Connect with tools like Google Drive, Trello, Zoom, and more for seamless collaboration.
Video and Voice Calls: Conduct virtual meetings directly within the platform.
With an intuitive interface and advanced collaboration features, Slack has become an essential tool for businesses worldwide.
Slack Pricing
Slack offers multiple pricing plans based on the size and needs of a business:
Free Plan: Limited features, including 90-day message history and up to 10 app integrations.
Pro Plan: $7.25 per user/month (billed annually) – Offers unlimited message history, enhanced security, and group calls.
Business+ Plan: $12.50 per user/month (billed annually) – Includes advanced compliance, SSO, and priority support.
Enterprise Grid: Custom pricing for large organizations needing enterprise-grade security, scalability, and compliance features.
While Slack is feature-rich, some businesses may find its pricing high, leading them to explore Slack alternatives.
Top Slack Alternatives
If Slack doesn’t fit your needs due to pricing, security concerns, or missing features, consider these Slack alternatives:
1. Troop Messenger
A secure and feature-packed team communication tool offering instant messaging, file sharing, video calls, and self-hosting options. With an intuitive interface and cost-effective pricing, Troop Messenger is an excellent alternative for businesses of all sizes.

A self-hosted messaging platform that ensures complete data privacy and security, making it a great choice for businesses prioritizing compliance.
Final Thoughts
Slack is a powerful tool for team collaboration, but it may not be the best fit for every business due to pricing and feature limitations. Exploring Slack alternatives like Troop Messenger, Microsoft Teams, and Mattermost can help businesses find a solution that meets their needs.
For businesses looking for a cost-effective and secure communication tool, Troop Messenger is an excellent choice.

Microsoft 365 in Education: Top Tips for Seamless Implementation
Tumblr media
Imagine a classroom where students collaborate effortlessly, teachers manage their lessons with ease, and learning continues beyond the four walls of a school. This is the power of Microsoft 365 in education. With tools like Teams, OneNote, and SharePoint, schools can enhance communication, improve organization, and create an engaging learning experience. But how can schools implement Microsoft 365 without the usual hiccups? In this guide, we’ll break it down step by step to ensure a smooth transition for educators, students, and administrators.
Start with a Clear Implementation Plan
Before diving in, schools need a structured plan. This should include:
Goals & Objectives: Define what you want to achieve—better collaboration, seamless remote learning, or efficient document management?
Stakeholder Involvement: Involve teachers, IT staff, and administrators from the start to ensure all perspectives are considered.
Timeline & Milestones: Set realistic timelines for implementation to avoid overwhelming staff and students.
