It’s probably one of the most annoying things; receiving the same e-mail multiple times. Actually, I’m not talking about just a single e-mail here but basically all your e-mails and not just twice but LOTS of times.

This article discusses the most common configuration issues which lead to e-mail duplication and how to prevent them from happening again.

Duplicate Email Remover is one of a number of Outlook plugins. It processes both email messages and posts in mail-type Microsoft Outlook folders. Rules

Rules, and more specific “Move to folder” rules, is the most easiest one to get yourself some duplicates. This is because for each e-mail received, Outlook will fire all configured rules against it. The following example will show how this can lead to duplicates.

In this example there are two rules configured;

Now imagine that you receive an e-mail from me where I have the word Outlook in the subject; both rules with apply! So it will get moved out of the Inbox two times and thus create a duplicate.

The way to prevent this, is to add the action “stop processing more rules” to the rule. If we would add that action to the first rule and the rule applies to a received message, the action “stop processing more rules” will prevent that the second rule will be executed as well.

Keep in mind that if you have even more rules configured that should always trigger – for instance that assigns messages to a category or marks it for follow up – you’ll need to sort your rules in the correct order as well.

Also note that the “stop processing more rules” would only affect the current message that is being checked. When you’ve received multiple emails, all those emails will be verified starting with the first rule again.

Multiple Accounts

When you configure multiple accounts in Outlook, make sure that these are indeed separate accounts and not just aliases for the same mailbox.

In the case of an alias, you would basically have the same account configured twice as all emails from either alias is being received in the same mailbox.

When you also have the option configured to leave a copy on the server (POP3 account), both accounts will collect the same e-mail leaving you with duplicates. To read up on the difference between a separate mailbox and aliases see: About mailboxes, addresses and aliases.

To prevent duplicates from alias accounts (other than removing them), you must configure the alias account not to receive e-mails since they are already being received by the original account;

Outlook 2007 Tools-> Options-> tab: Mail Setup-> button: Send/Receive-> button: Edit…-> select the alias account-> uncheck: Receive mail items

You’d then still be able to select with which address you send out your emails.

Profile Recreation

When you recreate your mail profile – for instance when the original got corrupted or when you reinstalled your PC and configure Outlook for the first time again – and you originally had Outlook configured to leave a copy on the server (POP3 account), it will collect all the e-mails from the server again even when you have received them in a previous configuration.

This happens because the newly created profile doesn’t “know” that these messages have been received before by another profile.

For Outlook 2007, this means that when you recreate your mail profile and, during setup, you immediately configure it to use your old pst-file as the default delivery location, it will create duplicates for the messages that are already received and that are still on-line as well.

To prevent this from happening, make sure to start Outlook at least once with a clean pst-file before reconnecting the old one and setting it as the default delivery location. This way you’ll collect all the e-mails in a new pst-file.

When you are using Outlook 2010 or later, you can prevent this by reconnecting your original pst-file during the POP3 account configuration.

Outlook 2007

Connect to your original pst-file by File-> Open-> Outlook Data File… and once opened move all the newly received e-mails to that pst-file.

Close Outlook and go to Control Panel-> Mail-> E-mail Accounts-> tab Data Files. Select the the original pst-file and press Set as Default

Select the other pst-file and press Remove.If you want to keep your computer clean press the Settings button first and write down the location of the pst-file so you can physically delete the file as well and not just the connection to it.

Outlook 2010 / 2013 / 2016 / 2019 / Office 365 Outlook 2010 and later do remember which emails have been downloaded before as it stores this information in the pst-file itself.

Upon configuring your account, you can specify the delivery location to an already existing pst-file instead of letting Outlook create a new one for you. If you have retrieved your account settings via AutoDiscover, you can select the option to manually configure your account. This will get you to a screen where the account settings retrieved via AutoDiscover are shown and also has a section “Deliver new message to” to select your original pst-file.

To change the delivery pst-file for your account after you have configured your account use;

File-> Account Settings-> Account Settings-> select your e-mail account-> button Change Folder-> select New Outlook Data File… and browse to your original pst-file.

Synchronization Tools

Synchronization Tools are great to keep your contacts you have in Outlook and on your mobile device, like a tablet or smartphone, synchronized and up-to-date. Depending on the tool you are using, synchronizing for the first time might be tricky and could cause some duplicates or “similar” items.

For instance, I used to store most of my mobile phone contacts by first name only and the ones in Outlook by their full name. So I had a contact named Edwin on my mobile phone and a contact named Edwin Sparnaaij (yep, trying to get my brother famous here :-D) in Outlook. When I would synchronize, I would end up with an item named Edwin and an item named Edwin Sparnaaij in both Outlook and my mobile phone since the synch tool doesn’t know these are one and the same person in real life.

To prevent this from happening, make sure your contacts are in order before synchronizing for the first time or you’ll only duplicate the mess. Since my mobile phone was a big mess mainly because of the lack of a proper input device and contact storage properties on it (I had a Nokia 3210 at that time) getting things in order would be handier in Outlook. To make sure it doesn’t mix with your original Outlook contacts you can create a new mail profile first with a dummy account or no account configured at all (tip: call the profile Mobile Device so you can easily recognize it). Now you can safely synchronize with that mail profile and use Outlook to easily clean up your contacts on your mobile.

Free vsts mac. If you are a control freak (I won’t be last to admit this) and want to make sure that the initial synchronization indeed doesn’t create any duplicates, move the cleaned up contacts from the Mobile Device mail profile to your original one;

Connect to the pst-file from the Mobile Device profile by File-> Open-> Outlook Data File…

Move the Contacts from the Mobile Device pst-file to your original Contacts folder.

Now that you have created a “master copy” in Outlook make a back-up of your pst-file in case synchronization goes wrongafter all. Also now that we have all contacts correctly in Outlook, we don’t want it to still end up creating duplicates because the synchronization tool isn’t “intelligent” enough to recognize the similar items (this depends on the synchronization tool you are using so I’m going for a fail safe here). As we have a master copy in Outlook we can safely delete all the contacts on the mobile device. Now reconfigure your synchronization tool to use your original mail profile and synchronize; there is just NO WAY you can end up with duplicates now!

Virus scanner / Firewall

Another quite common evil which will end up creating duplicates is having a virus scanner which integrates itself with Outlook or a too strictly configured firewall. To understand this, I’ll explain a little bit how the e-mails are actually being received without a virus scanner or firewall;

When Outlook does a Send/Receive it will make a connection with the mail server and will ask the server which e-mails it is currently storing. The mail server will respond with a list and Outlook will verify with its local list if it has collected all the e-mails already. If so; Outlook will close the connection to the mail server. If not; Outlook will request the new e-mails from the server and when it has received all the e-mails, it will close the connection with the mail server and update its own list of received e-mails.

The above illustrates a perfect Send/Receive cycle. If for some reason the connection gets terminated unexpectedly so that Outlook cannot properly close the connection to the mail server, Outlook will consider it as a failed Send/Receive cycle and will not update its own list of received e-mails, even when some or all of them have been received already. This means that at the next Send/Receive interval, Outlook will check for new e-mails with an “outdated” list and collects the e-mails from the previous Send/Receive interval again and will not update its local list until the connection to the mail server closes properly.

This is where the virus scanner and firewall come into the picture. The exact method depends a bit on the virus scanner solution chosen but basically when a virus scanner integrates with Outlook it will “intercept” the Send/Receive request from Outlook. So when Outlook does a Send/Receive and “thinks” it is talking to a mail server it is in fact talking to the virus scanner. This means that now the virus scanner is responsible for the connection. This means setting up the connection, requesting the list of mails stored on the server, managing the timeouts, etc… but also closing the connection properly and telling this to Outlook.

Although this could go right of course many many times, keep in mind that you do have added a new point of failure to the Send/Receive process. This leaves you with another possibility that the connection to the mail server isn’t closed properly and already received e-mail being received again at the next Send/Receive interval.

Therefore, and for various other reasons as well, it is another good reason to prevent your virus scan solution to integrate with Outlook. There is no direct need to integrate a virus scanner with Outlook as it is redundant anyway; it won’t add another level of security since it is one and the same tool as your on-access-scanner. Default Outlook security settings and an up-to-date virus scanner are enough to keep you safe! See the documentation of your virus scanner on how to disable its integration with Outlook. Now that you know how the Send/Receive interval works, you can imagine that a too strictly configured firewall could terminate the connection prematurely as well. In this case, check/disable your firewall and wait two Send/Receive intervals. If the second one doesn’t cause any duplicates, you’ll know that your firewall isn’t properly configured. If you are just swamped with duplicates, you probably don’t want to clean up the mess manually. The ideal and easiest way to recover would be by restoring a back-up. If you don’t have a current back-up, there is a wide range of duplicate remover tools to choose from.

Outlook is the primary emailing interface for Microsoft Exchange Server users. It is synced with the server to fetch and send emails quickly and handily. It doesn’t matter whether your email client is Outlook.com, Hotmail, or even a third party like Gmail, you can easily set up your account and start sending all those work emails.

Since they’re your emails, you would, of course, want the ability to open them at any time. You can depend on Outlook displaying any email you need no matter how many months have passed since you wrote it. Or can you? As it turns out, things aren’t that simple. Outlook doesn’t display everything by default: most of your emails remain on Microsoft Exchange Server, while only a portion are made available for you in Outlook.

If you’re using Outlook 2019, 2016, 2013, or Outlook for Office 365, you can’t get instant access to your older emails without changing an inbox setting. Although your email is kept on the server forever if you so wish, you might expect the convenience of also having a local copy. However, the way Outlook is set up, it downloads up to 12 months of your emails to your local disk. If you need to read emails older than this date, you will have to take the appropriate action to force Outlook to download them from the server.

Why Does Outlook Have an Email Download Limit?

You might wonder why the situation is like this. It is because Microsoft Office makes some intelligent settings when it’s installed on your system. It checks all your hardware and makes the necessary adjustments to allow the program to run optimally on the system. With respect to Outlook and enterprise emails, the checks it performs on your hardware are used to set download parameters.

Plainly, it is trying to help, but the program can become meddlesome. After checking your hard disk to verify how much space is left, it automatically adjusts the time limit that determines how many of your emails are retained locally. The more disk space is available, the more months of emails are downloaded. The calculation is made according to the following formula:

If free disk space is up to 64 gigabytes, up to 12 months of emails are automatically downloaded to your computer.

If free disk space lies somewhere between 32 gigabytes and 64 gigabytes (not including either number), three months of emails are automatically downloaded to your computer.

If the amount of free space on the disk is less than 32 gigabytes, only a month’s worth of emails are retained on your computer’s local storage.

You might wonder what the fuss is about and why the setting couldn’t just be set to “download all emails” or something similar. Actually, contrary to popular belief, emails can take up a lot of storage. Those who lead busy email-laden lives often find that a huge amount of space has been taken up by both sent and received emails. If you don’t monitor your disk usage, you might wake up to find all your space has been swallowed up by your business correspondence.

Microsoft knows this as well. That is why Office is designed to automatically adjust storage parameters, such as the default local email storage limit for Outlook. Usually, this is okay; chances are you don’t have much need for emails of bygone years. Moreover, irrespective of the setting, you still get local access to your tasks, calendar appointments, and contacts.

Keep in mind that the efficacy of this setting is dependent on the kind of email client you use. If you utilize one of Microsoft’s homegrown email service providers like Hotmail, Outlook or 0365, the setting does influence how many emails are available locally. The same principle applies to the majority of popular business email services around. However, if you happen to use a public provider like Gmail, Yandex or Yahoo, you won’t have this worry since the setting won’t have any effect. All your emails on Microsoft Exchange Server will have a local copy stored on your computer’s internal storage.

How to Make Outlook Download All Emails From the Server

The server here naturally refers to Microsoft Exchange Server. While some businesses purchase a license to host an Exchange Server in the premises, others turn to a third-party Exchange-as-a-Service server provider. The popularity of Exchange Online, a cloud version of the service hosted by Microsoft itself, is on the increase as well.

Irrespective of the mode of Exchange used, its main function remains the same: a message transfer agent that sends emails between computers. The messages are read on both ends by means of an email client, in this case, Outlook.

In essence, by using Exchange, all the emails you’ve ever sent and received are stored on the Exchange Server in perpetuity. Of course, the eternal retention of your emails is subject to things like cloud storage limits for individual accounts and continuous use of the account. The point remains that under normal circumstances, you can still see your emails, including the really old ones, even if they aren’t stored on your computer.

So, what can you do to download all the emails from the server to Outlook? If you wish to view all your emails in Outlook, there are two ways.

Method 1: Use the “More” link in Outlook

Outlook for Office offers an easy way to extend the number of emails displayed in a folder. Assuming that you’ve maintained the account for a long time or have a long email history, the app will typically display only the most recent emails. But you can force Outlook to download all IMAP emails — or display them, at least.

When you are in a folder such as Inbox or Sent in Outlook and scroll down, you soon reach the end of the displayed emails. Right there, you will see a message informing you that you can click the link to view more messages:

Once you click the “Click Here to view more emails on Microsoft Exchange” link, Outlook will download the rest of the emails for that folder to your computer. This only works if you have an internet connection. Plus, only the emails for a particular folder are downloaded. Thus, if you are in the Sent folder, you get only all the emails you’ve ever sent.

This principle holds true if you conduct a mailbox search. When you type your search query and results are displayed, if there are plenty of emails matching the search term, you may see the following at the bottom of the results page:

Clicking the More link downloads the rest of the emails matching your search query.

If you wish to see all your emails in a certain folder at a glance, you can log into your account via the web app for Outlook. That takes you to the Microsoft Exchange Server interface for your account, and you can see everything stored there.

Method 2: Change the “Mail to Keep Offline” Setting in Outlook

This is the setting that determines how many months’ worth of emails Outlook keeps on your computer. Remember that this only works when using a Microsoft email client or a recognized business email service provider. You can extend the number of kept mails or reduce it, even. You can also tell Outlook to save each and every one of your emails locally.

According to Microsoft:

Outlook 2019, Outlook 2016, Outlook 2013 and Outlook for Office 365 provide the options of 1, 3, 6, 12, or 24 months, or All. Outlook 2019, Outlook 2016, and Outlook for Office 365 provide the additional options of 3 days, 1 week, and 2 weeks.

Without further ado, here is what you need to do:

Launch the Outlook application.

Head to the File tab.

Select the Account Settings drop-down option.

When the option is expanded, select Account Settings.

In the Account Settings window, select the Email tab.

If you have multiple accounts in Outlook, they will be displayed here. Select the one whose settings you wish to adjust and then click the Change button.

The Change Account dialog is displayed. Make sure that the Use Cached Exchange Mode checkbox is ticked.

Move the “Mail to keep offline” slider to the desired number of years, months, days, or weeks. (If the slider is grayed out, your administrator may have blocked you from changing the setting.)

Click the Next button.

A pop-up appears asking you to confirm the configuration change. Click OK.

Click Finish and restart Outlook.

You should soon see a message informing you that “Your folders are up to date” at the bottom of Outlook. This only appears after Outlook has finished downloading all your messages from Microsoft Exchange Server.

Only choose the All option if there is enough storage. Your settings should match the amount of space on your disk. If you choose the option to download all emails to a disk with limited space, problems are inevitable. We recommend that you delete all unwanted items from your storage first to free up more space.

This post is for the Mac users. When it comes to Mac OS X, the number of freeware plugins is very low, compared to the Windows world. The popular “Save as VST” softwares (Synthedit and Synthmaker) are Windows only. The “upgrade” politic of Apple is a sort of nightmare for developers (and sometimes users!), so many old free plugins don’t work anymore…

I have searched for free MAC plugins over the web and then tested ! – only free synth (not effects), in VST and or AudioUnit (AU) format – the OS used is Mac OS X 10.8 (Mountain Lion) – i tested the plugins in Ableton Live 9 / Renoise / some free VST & AudioUnit host softwares (Pedalboard, the JUCE open source plugin host, VSTLord, AULab, Ugly VSTi Interface…)

It’s a selection with free virtual analog synths, organ emulations, epiano emulations, drum synth, bass synth, FM synth, emulation of Oberheim / NordLead / DX 7 synth, chip synth, guitar emulation…

1. Synth1 AU/ VST

U-He loves the Mac, don’t hesitate to have a look at the other freeware on the Website, all are working without problems in VST or AudioUnit format. I have also selected Triple Cheeze and Zebralette from the same developer. These plugins are good and full featured.

TyrellN6 plugin comes with a big amount of presets, and a deep variety of sounds. It’s powerful and easy to program. It’s rock solid stable and have a nice UI too!

4. FreeAlpha AU / VST

FreeAlpha AU

This freeware from LinPlug sounds very good, it has punch and is easy to tweak. It can do punchy bass, but also nice pads and clean leads. Despite its simple look, it’s powerful and funky!

5. Crystal AU / VST

The old Crystal Synth is still top, and one of the best synth for complex / evolving PADS, with its multipoint envelopes, and the complete modulation matrix. One of the best virtual synth, for more than 10 years!

6. TAL NoiseMaker AU / VST

Like U-He, TAL has many freebees for Mac OS X. I have selected Noize M4k3r and Elek7tro but you also have other interesting plugins. The “Noise Maker” plugin has two osc + sub, a good filter and the famous Chorus “a la Roland”, so you have all you need for your fat bass/lead. Certainly more agressive than Crystal, it completes well the sonic arsenal.

7. Dexed FM VST

The famous free Yamaha DX7 emulation ! It’s VST only (no AU for the moment). Use the cart / load / save button to browse or import presets. It can read / write sysex files for and from the DX7. Now all your FM needs are fullfilled: you can do pop ballad or Detroit techno, vive la FM !

8. MiniSpillage AU (Drum Synth)

Now that we have the FM synth, the Pad synth, the Bass synth and Lead capable synths, we need a DRUM synth. The Minispillage plugin has three dedicated algo for bass drum, wood drum and hihat. I tend to prefer “Drumatic” but Drumatic is Windows only.

9. ComboF organ AU / VST

After all these synths, we now need an emulation of our prefered organ : the Farfisa combo organ! ComboF gives you the sound of the Italian electric organ we all love. Available for Mac and windows, in AudioUnit and VST!

10. MrTramp 2 e-piano AU / VST

After the organ emulation, we need the electric piano! MrTramp 2 is the best (free or not) emulation of the Wurlitzer electric piano. It’s raining again ! Now you can sound like Supertramp ! Breakfast in America !! There are not so much controls but you don’t need more, and the sound is excellent.

11. Cheeze Machine AU

A dedicated string synth plugin for Mac ! The Cheeze machine from Big Tick is a kind of Arp Solina emulation. It has this phaser / chorus creamy sound. it’s AU only and should work with your favorite Mac host software.

12. TripleCheese AU / VST

TripleCheeze plugin

Cheese again ! The U-He contribution to the first KVR Developer Challenge. It’s an original synth with unusual sound generation. Nice for plucked sounds. Works well on my Mac OS X Mountain Lion. Thanks to the comb filter, you can generate very original sounds.

13. Zr3 organ VST

We have ComboF for the Farfisa emulation, and for the Hammond B3 organ lovers, there’s Zr3. It’s VST only and works nice in Ableton Live 9. The only good free Hammond B3 emulation for Mac OS X.

14. TAL Elek7ro AU / VST

TAL Elektro

A perfect free synth for bass and perc sounds. Don’t forget to check the other TAL plugins !

15. VST Speek AU / VST

Coming from here ! the funkiest text to speech in plugin format ! The best C64 Sam oldskool text to speech emulator, for all your techno voices. Available in 32 & 64 bit, VST & AU

16. Zebralette AU / VST

Zebralette plugin

Coming with the demo of Zebra, the famous synth by u-He, Zebralette is a nice synth, with unusual sound, and powerful possibilities and plenty of special waveforms to play with.

17. Model – E VST

The antic VST from Steinberg, now free, and now available in VST format for Mac OSX. It has been surpassed in all domain by many other synth (freeware included). But it can be useful and you can get some nice sounds out of it if you tweak it with love.

18. VB-1 virtual bass VST

VB1 bass

Another prehistoric virtual synth from Steinberg, this virtual bass plugin is free and available with Model E in the same package (see link above). Very simple sound, can be useful. Freeware for Mac are rare so we take it!

19. MDA Piano ePiano DX10 & JX10 VST

NO GUI

These free VST work for Mac OS X, they don’t have UI, you’ll have to use the default interface supplied by your host. – Piano & ePiano are sample based synth, the ePiano is very good, it’s a kind of Rhodes emulation. – DX10 is a FM Synth, it has only two operators, but you can still get nice bell sounds out of it. – JX10 is a very nice virtual analog synth, despite some bugs (the Windows version has the same), it can do some very nice leads.

20. 4Front R-Piano AU / VST

Another free electric piano emulation for your Mac! It’s simple and has a nice clean sound. Perfect for deep house chords.

Best Free Vst Plugins Mac

This is the URL where you can also find the Cheeze Machine VST, and also the very good Clavinet emulation by Big Tick (TickyClav). Chip32 is a very simple plugin, perfect for your chip tune needs.

22. Spicy Guitar AU / VST

A free Audio Unit / VST emulation of an acoustic guitar ! It’s use a physical modelled synthesis, and is a great emulation. Here are coming the ukulele / banjo / Flamenco guitar !

23. Scythe VST

Scythe VST

A very simple VA Synth (VST only), with two oscillators, a filter, modulation envelope & some embedded effects : bitcrusher / phaser / chorus / delay. It’s simple but efficient. You can also generate random presets!

24. Automat AU

A virtual substractive synth with 3 osc, and filter for each osc, + many effects and modulations. It’s audiounit only, and like Scythe, it has a random preset generator.

25. VOPM VST

VOPM VST synth
