Simple rules for choosing a professional email address
First impressions are essential because there are no do-overs. None more so than when it concerns email. So how do you make that all-important entrance into the recipient's inbox?
When you consider the way people scan their inbox, it's often the sender's name that's the deciding factor in whether the message gets read or goes to trash. However, here's a thought or two to help.
Imagine you have honed your CV to perfection, crafted a killer follow-up to a customer, or announced an attractive new offer. The eye-catching subject line is in place, but there's zero response. This is almost certainly down to the fact that you have sent your message from a personal email account, not a business address.
Everyone has, at some time, been the owner of an email handle like [email protected] or [email protected]. Today they are or should be, little more than funny youthful memories of a bygone age. In business, [email protected] is only ever going to adversely affect your credibility, your business, and brand in the recipient's eyes.
A professional email account, meanwhile, says you are a serious business person with a professional outlook. Effectively, your email address is your business card and the brand name rolled into one. The email address, therefore, wields more power than you may appreciate. There's little point to an awesome message if the recipient deletes your email without even opening it.
Your email address speaks to your professionalism and trustworthiness
A professional-looking email address is essential to your credibility. Not to mention your ability to develop trust with customers, potential clients, and stakeholders alike. So, how do you create a professional email address?
Firstly, stop using your personal email addresses and create an email account tied to your company's website domain name. Using your company's domain for email shows you are serious and professional. It also builds brand awareness and trust.
Which sounds better, [email protected] or [email protected]?
No contest; it's the second one. The sales pitch from @tbconsulting.com is far more likely to be read than the former.
Gmail and Outlook are familiar and user-friendly. But they are very commonplace, and anyone can set up accounts. Much better by far is the kudos of a unique email address from your company's domain. A professional username preceding the @ symbol of your company's domain portrays a serious business person. Nicknames are best left for personal communications with friends and family.
Multiple email accounts
It's okay to have multiple email addresses. But some are far better suited for family and friends than for business.
Big Dawg
Your business email should not contain nicknames or alter egos. Tom Bentley, aka Big Dawg, should firmly stick with [email protected]. Using your first name and surname is always the best practice when creating a business email account.
Exclude numbers
As the world's population is poised to pass eight billion soon, the chances of a unique account without numbers with a free email provider are vanishingly small. That's why Gmail and so on suggest numbers after your name when you create an account. Numbers in an email address are viewed dimly for business. There's only one place "tombentley192" is heading, and that's the bin.
The same is true for symbols and punctuation. They are difficult to remember and can trip off spam filters, particularly if the recipient works for a large company. Use letters only. If you have to break up your name, use only a period or underscore:
Generic addresses
You will have seen email addresses that start info@ or support@. These types of addresses indicate that the email is from a team rather than an individual team member. In other words, the entire team owns the inbox, not just one person. Here, the sender must recognize the domain. This setup is good for email dealing with a specific theme, say, accounts, support, or general information.
Make it memorable
Please keep it simple. With many people doing business via their cell phone's tiny screen, email addresses must be easy to recall and spell. Bear in mind, too, you may have to pass on your email address during a voice call, so the simpler, the better.
Keep your business and social life apart
It is best to have separate email addresses for business and pleasure. There should be clear email compartments for your business and private life. It also makes it easier to keep on top of your inbox.
Full names not required
If you have a middle name or your full name is long, keep your username as your most commonly used name. For example:
not
Experiment and select the best
Play around on paper with the various options before committing yourself to an email user name. These are some that are commonly used in business.
For example, our friend Tom Bentley is the founder of TB Consulting. He has several options that would work for him as a business email address.
Usual name: [email protected]
First name: [email protected]
Usual name & last initial: [email protected]
First initial & surname: [email protected]
These rules are not meant to stifle your creativity or imagination. In some instances, business people will need to express a degree of individuality, including their email address. However, in the vast majority of situations, formal and straightforward is best.

What are SSL Certificates? Why do I need one?
Gaining and building trust with customers underpins every online business. That is why our web security services and products enable you to offer customers a safe and secure platform in which to do business.
In this article, we will define what a digital certificate is, what types are available, and any associated problems.
The information flowing over a secure connection is encrypted and therefore, safe from prying eyes. An unprotected connection is unsafe. But who issues security certificates, and what is the difference between a Secure Sockets Layer (SSL) certificate and a Transport Layer Security (TLS) certificate? And what is the purpose of digital certificates, anyway?
To get us underway, you will have noticed HTTP and HTTPS in the address bar of your browser. These designations refer to the method of data transfer between you and the site.
Whenever a visitor arrives on a web page or supplies information to a website, data is exchanged between the visitor's computer and the webserver upon which the site resides. This traffic flow is managed via a data transfer protocol, HyperText Transfer Protocol, or HTTP for short.
A secure version of the protocol is known as HyperText Transfer Protocol Secure (HTTPS). This variant encrypts the traffic between the site visitor and the site's webserver. This encryption means the data is secure and unreadable by third parties such as an administrator or WiFi provider.
Data transferred in this manner uses a cryptographic protocol in both directions. The first of these protocols was SSL. Since then, SSL evolved, but all the subsequent generations had shortcomings.
Eventually, the protocol was overhauled entirely, and TLS was launched, a protocol which is still used today. However, despite the revolution, the old SSL name stuck to the new version.
If a site wishes to use encryption, it must obtain a certificate, also known as a digital signature, to confirm that the encryption is trustworthy and meets the protocol's criteria.
As well as HTTPS in the address bar, browsers will also display a padlock or shield icon. The word 'secure' or the company name will also show in the address bar.
How do I obtain an SSL certificate?
There are two routes to get a certificate. First, the webmaster can issue the certificate and generate the necessary cryptographic keys. These certificates are known as self-signed certificates. The downside is that visitors are shown a warning that the certificate is untrusted whenever they try to access the site.
On sites like these, the browser will display crossed padlocks, red shields, and Not Secure. Depending on the browser, HTTPS will be shown in red rather than green, or HTTPS will be crossed out and highlighted in red.
A much better way to put visitors' minds at rest is to buy a trusted certificate authority (CA) certificate instead. The CA will carry out due diligence on the site, checking the owner's documents and right to own the domain. A CA-issued certificate carries far greater weight and reassures site visitors that they are dealing with a legitimate company.
Hubdomain Australia-issued SSL certificates come with the highest level of industry-standard security. This security benchmark is a cast-iron assurance that it is safe and secure to make e-commerce transactions. And that passwords and credit card details will be safe, as well as other sensitive customer information.
How can an SSL Certificate help my small business?
Firstly, a certificate makes your site more secure. SSL encryption is one of the best methods to safeguard both your website and its data.
This security technology enables a small business to keep all customer data confidential and safe. This is a business-critical essential if you have a company or e-commerce web site. Having encryption gives small businesses the ability to secure sensitive information visitors share on their site. Typically this includes passwords and usernames, card details, email addresses, and contact details. With this extra line of defence, you will not have to worry about customer data and so on getting into the wrong hands.
In Australia, holding an SSL certificate is a critical step if you operate an e-commerce or online shopping site and wish to accept credit and debit card payments. Obtaining an SSL Certificate is also a mandatory requirement under the Payment Card Industry Data Security Standard (PCI DSS). It's also compulsory for any organisation that wants to process cards such as American Express, Visa, Mastercard, HSBC, etc.
The PCI DSS examines expensive and cheap SSL certificates in Australia and overseas to verify a trusted provider has issued them. This industry standard also examines that the encryption is up to scratch and uses a minimum of 128-bits to handle credit cards securely. It verifies that a secure encryption connection is established on all web pages where visitors enter private information.
When you purchase an SSL certificate in Australia, you are also usually given a server certificate as another form of protection. Its function is to act as the mediator between your site visitors' browsers and SSL servers, guaranteeing that a recognised institution has issued the certificate.
Today, online security, privacy and data protection lie at the heart of such major web browsers as Google Chrome and Mozilla Firefox.
As far back as 2017, Google announced it would be naming and shaming those pages continuing to use HTTP connections by flagging them up as 'Not Secure'. This action was a move that essentially hampered users accessing these pages.
Thanks to these measures site users can check your cheap security certificate is up to date and that the webpage genuinely belongs to you. This ability gives users the reassurance they are looking for before doing business with you.
An SSL certificate, even a cheap one, will demonstrate to your target audience that yours is a legitimate business that takes security seriously. If they receive this type of reassurance, customers are far more likely to give you their attention and trust. They will be appreciative that your business cares enough about its customers and their data, that you have invested in extra online security. The more users that place their trust in you, the more business you will receive from them.
Besides, consumers are increasingly more likely to recommend and have loyalty to brands that safeguard their transactions.
What is the bottom line for small businesses having an SSL certificate?
As well as intangible customer goodwill, there are real financial gains to be made. Firstly, you will see an improved level of online footfall and sales. It's not just internet users and consumers who place value on a site that invests in extra site protection. All the big hitter search engines such as Google, Bing, and Yahoo! pay close attention to security in drawing up their result rankings.
If you have an SSL certificate, the chances of appearing higher in the results page for your category or industry increase substantially. In turn, the higher ranking will drive more site traffic and provide more opportunity to ramp up online sales conversions.

What’s in Your Name?
Quite a lot as it happens. And none more so than when you’re about to launch a new website. One of the very first questions in that process is which domain name to choose.
The domain name is your address that web browsers use to take visitors to your corner of the internet. As well as signposting to your company or organisation website, a domain, like www.ourcompanysite.com, lets you have customised email addresses. Instead of using free service email accounts, you can create unique email addresses like [email protected].
Domain names are not solely for businesses; individuals and other non-commercial interests can purchase them too. Typically, a domain name will contain a maximum of 63 characters without spaces. A to Z are permissible, as are hyphens and numbers.
A domain name comprises two parts: the primary domain and then the Top Level Domain (TLD) also called the domain extension.
For example, take the primary domain name, xyztours. The most popular top-level domain in Australia would most likely be .com.au.
The most significant perk of buying an Australian domain name is immediate brand recognition. This increased visibility holds true, especially if your domain is unique, easy to spell, and memorable.
A domain name will gain instant recognition if your domain name is the same as your company name or its initials. Say your company is based in Melbourne and goes by the name XYZ Tours. An excellent website domain to bag would be www.xyztours.com.au.
Also, helping to spell out your value proposition clearly would be web addresses such as premierwhitewine.com or carhireservices.com.au. Domain names like these leave users in no doubt what it is you sell or what services you offer. Being transparent will save you both time and money on additional branding efforts.
Your domain name is the jumping-off point for your business promotion efforts and online marketing. A well-considered domain name will unambiguously tell web users about your business and what products or services you sell. It is also possible to set up sub-domains for specific products or services to generate web traffic. For example, cyclehire.xyztours.com.au if you want to promote your cycle rentals.
The domain name should always be added to all your printed literature and offline adverts too. By doing so, you are letting customers, new and existing, know where to find additional information about your business, your products, and services.
Today, having a robust web presence adds professional credibility to your business or organisation. In the eyes of customers and rivals alike, a custom-built and informative website reinforces your brand, professionalism, and authority. Therefore, consumers will have confidence in you as a company and the products or services you provide. They will also be more willing to trust you with their information.
Trust like this is fostered because website visitors know a custom domain name and professional websites are expensive and have to meet increasingly stringent criteria.
When you purchase a personalised and brand-relevant domain, you are essentially buying a giant signpost for search engines to read. By doing so, search engines can easily rank your website on their results page when a user types a relevant search term or keyword. The higher you rank on the search engine results page, the more users will likely visit your site. More traffic means more significant opportunities to convert visitors into customers.
As well as ensuring your domain is easy to type and memorable, your website needs to combine well with your existing branding and colour scheme. Consumers can rapidly connect the website to your business through branding uniformity and quickly know the products or services you are providing.
The best Australian domain names strike an excellent balance between unique, engaging branding and the creative use of keywords. This tactic will significantly enhance your results page ranking as search engines will better understand your website.
It is also strongly recommended that you select business-relevant keywords and those for which you wish to rank. However, don’t pin too many hopes on the most attractive terms. You are likely to find they are no longer available. The most desirable terms have been snapped up already, with local and international enterprises competing for those still available.
Better results can be accomplished by selecting synonyms of common keywords and matching them to your business name or brand. Be careful, though, with your keyword usage. Do not be tempted to shoehorn in as many as possible, as this will adversely affect your search engine ranking. To a search engine, this will appear to be spam, and your site will be downgraded.
If the website address you want is already taken, it’s possible to place an order for the domain when it becomes available to purchase again.
Domain name extensions, too, play a role in improving branding and making your site unique. They are also useful for targeting local markets. Say your business is located in Melbourne, or Sydney; you can buy .com.au, .melbourne, and .sydney extensions. These extensions inform web users that Australian consumers and residents are your primary target audience, and you are likely to offer localised products and services.
These localised domain extensions are highly valuable for Google and other search engines as they put significant weight on local search. Other great top-level domain alternatives include .org.au, .asn.au, and .net.au.
Hubdomain Australia, in common with other established businesses, has gone through strict accreditation to ensure our processes are both secure and safe. Clients can, therefore, be confident when doing business with us.
