As part of the shared-governance process, the faculty workload task force was invited and encouraged to participate in the process of identifying the $1.5 million needed in reductions from the academic budget. The recommendations of the faculty workload task force ultimately did not meet the threshold for cuts that was given to them. As a result, AIC’s administration will be implementing reductions that will result in both tenured and non-tenured faculty loss.

“Ultimately, this pandemic has forced decisions that no institution ever wants to make, and losing programs, faculty, and staff is incredibly difficult,” Nash said. “We wish the outcome were different.”

According to Frank Colaccino, who chairs the AIC board of trustees, a 1973 graduate of AIC, cuts to faculty positions are a reflection of declining enrollment in a number of programs.

“American International College is no stranger to making very tough decisions in order to secure the future of the institution,” he said. “With 72% of students enrolled in just 28% of programs offered, in order to remain viable, the college cannot continue to support programs that have experienced continually declining enrollments. The impact of the pandemic has added to the criticality and urgency of addressing this situation.”

Added Maniaci, “as American International College prepares to open this fall as it has for 135 years, it will do so in support of the academic enterprise with a focus on the future of the institution and furthering its vision of providing access and opportunity to a diverse community of students.”

10 Tips to Better Manage Your Time in Academia

So I decided to forward all useful articles for my blog. 

  As an academic, work comes from many different sources and it’s up to you to keep it all under control. As a grad student, you have your research projects, your classes, obligations to your lab, and the need to balance a personal life. By the time you are a faculty member, you still have research (now guiding numerous projects), classes (now teaching), a research lab (that you’re leading), and a life outside of work (hopefully), but you’re also expected to write grants, serve on a myriad of committees, advise students, write reference letters, and review the work of others (manuscripts, proposals, tenure cases, etc.) Each of these can easily become a full-time job unto itself if you’re not careful.

Here are some tricks that work well for me (when I manage to do them):

1. Never give an immediate “yes” when someone asks you to do a task. Always say “let me check my schedule” or “let me see if I can fit that in”, even when you’re pretty sure you’re going to say “yes”. You’ll find that, when given more thought, you will be able to say “no” to many more requests.

2. Schedule new tasks right onto your calendar. By blocking out time for items on your todo list, you will get a better idea of how much time you really have available and a good excuse to say “I’m sorry, my calendar’s full” or “I’m available in two weeks.” Remember that you will likely underestimate the time a task will take, so you probably want to double your estimate at least. Also, keep in mind that unexpected, urgent matters frequently pop up, and, if you’re a faculty member, keep some time free each week to have spontaneous meetings with students.

3. Think about what you’re NOT going to be able to do if you add this new task. Often the tradeoff will mean less time working on an important, but non-urgent project, less mentoring of your students, or less personal time. For me, it works best when I recognize that saying “yes” to someone else is implicitly saying “no” to spending more time with my son. Of course, if you don’t have kids the core of this advice still holds, but for me the best way of beating guilt of turning someone down is by applying stronger guilt in the other direction.

4. Reserve some of your working time for important projects that you enjoy. You need to protect some of that time even when other stuff is getting urgent. When I’m not careful, my schedule becomes dominated by “urgent” at the expense of “important”. If this happens too frequently, the quality of my work suffers and I feel burnt out from focusing on tasks that don’t fuel my passion.

5. Remember: Work/life-balance is more than just juggling urgent work matters with urgent home matters. If you’re not feeling fulfilled, think about what’s changed at work (you went into this field for a reason!) and what you’re missing from your personal life. For me, this led to some reduction of my work hours some to spend with my family, and making sure I spend at least 1/2 hour of my work day coding, which I love. The extra energy I’m able to put toward work because of those changes has easily made up for any lost productivity due to less time.

6. Don’t let your e-mail continually distract you. If you frequently let your e-mail pull you out of what you’re working on, you’ll never maintain deep enough concentration for maximum productivity. My three-step program was: 1) Turn off all notifiers. 2) Simply notice each time I check my e-mail. 3) Require myself to deal with one waiting e-mail when I check, even if there is nothing new. Step two made me more aware about checking and enabled step three. Step three helped me internalize that checking e-mail would never just be a brief diversion.

7. Reserve time for writing. When I force myself to write for at least 1/2 hour per day, I find that my ramp-up time shrinks to almost nothing and the overall quality of my writing improves greatly. As academics, we constantly have things that we need to be writing, and if we spread them out to work on them every day, we can produce more eloquent writing in much less time. As a computational scientist, I find the same is also true for coding, which I’ve recently been much better about keeping up with.

Some advice more relevant to faculty 8. Make sure your research group has good cohesion. This will make your group members happier and make them comfortable helping each other (of course, make sure they’re also comfortable coming to you when they need to). Set the tone by encouraging collaborative projects (or a lab blog!) and events outside of normal working hours; I used to throw many more lab parties and should try to do so again. Also, make sure prospective students are interviewed by as much of your lab as possible and take your lab member’s feedback very seriously.

9. Have your students turn in weekly progress reports. This technique keeps meetings more productive, keeps your students more organized, and keeps you on top of your students’ continued progress. Of course, make sure your students know that not every project report needs to have a major advancement. Sometimes classes take priority. Sometimes you just get stuck. But it helps both you and them keep a better perspective on the research.

10. Put a system in place for others to request reference letters. I point people to my requirements for writing reference letters. It clearly lists what I need from them to simplify my job writing the letter. In some cases, I never hear back from the requester, which is fine (if they’re not willing to put work into me writing them a letter, neither am I). If they do send me the information I need, it cuts the time I need to spend on the letter in half. The hardest part for me is to remember to tell them!

Of course, even with these tricks I’m still usually quite stressed and overworked, but they do help a lot. What do you do to cope with the academic workload?

Is your documentation method leading to burnout?

While a variety, and combination, of factors, contribute to physician burnout, it is indisputable that burnout is real, and it is increasingly pervasive in the medical community.

There is, in fact, a code for it. The ICD-10 code for burnout is Z273.0, categorized under Z273, “Problems related to life management difficulty.”

“The rising tide of burnout, coupled with its effects on quality of care and access, make burnout a major threat to the health care delivery system,” says Tait Shanafelt, MD, Program Director of the Department of Medicine Program on Physician Well-Being at Mayo Clinic. “We need to stop blaming individuals and treat physician burnout as a system issue,” he argues. “If it affects half our physicians, it is indirectly affecting half our patients.”[1]

Medscape's 2015 Physician Lifestyle Report found an increase in physician-reported burnout from 39.8% in 2013 to 46% in 2015. [2] In MedScape’s 2017 Physician Lifestyle Report, the percentage of physicians reporting burnout increased to 51%.[3]

A survey of 579 physicians, nurse practitioners, and physician assistants by Linzer et al., published in the Journal of General Internal Medicine (JGIM)[4], reported a 67% stress rate, and a 38% average burnout rate (10%-56%, across 15 divisions). Among the factors surveyed were “EMR stress/documentation burden”; “Work-home balance” with responses citing after-hours EMR charting at home; and “Staff Support,” a lack thereof cited as leading to providers putting in up to 14-hour days due to “overwhelming clerical work.” According to JGIM web editor Neil Mehta, the survey found: “very high levels of stress and burnout with the major causes being heavy workloads and documentation requirements encroaching into personal time after hours and on weekends and limiting the time for exercise and family.”[4, 5]

The Maslach Burnout Inventory (MBI) is generally accepted as the leading measure of burnout. As characterized by the MBI, “Burnout is a syndrome of emotional exhaustion, depersonalization, and reduced personal accomplishment that can occur among individuals who work with people in some capacity... The consequences of burnout are potentially very serious for workers, their clients, and the larger institutions in which they interact.”[6]

In the Special report: suicidal ideation among American surgeons, Shanafelt et al.[7] write, “Suicide is a disproportionate cause of death for US physicians.” A total of 7905 surgeons participated, with 6.3% reporting suicidal ideation (SI) during the previous 12 months. The report concluded that “[r]ecent SI among surgeons was strongly related to symptoms of depression and a surgeon's degree of burnout.”

Many more research studies and news articles about the crisis of physician burnout could be cited, but the leading question for a medical practice is obviously, what can be done to prevent or ameliorate this crisis? The burden of documentation, clerical tasks, and EHR time-demands consistently emerge as some of the top sources of physician frustration. When physicians spend extra hours in the office and even at home performing charting for the EHR, their job description has in effect expanded to include clerical tasks that don’t require their experience and specialized education. These tasks could be competently handled by others.

“We need to stop blaming individuals and treat physician burnout as a system issue,” states Tanafelt.[1] If the “system” needs to be fixed, the documentation process is surely a top contender for a paradigm change in many practices. Shifting the workflow in order to free physicians and other highly paid medical staff from data entry does not mean that a physician relinquishes control over the information entered into the patient health record. The physician and other healthcare professionals such as nurses and PAs are, after all, the experts who are ultimately responsible for documenting their encounters. But the process of getting that documentation into the EHR does not have to be the onerous burden that it is currently for so many.

In the past, transcription was the typical go-to solution for generating complete reports to include in a patient’s paper file. The doctor dictated the transcriptionist typed, the report was reviewed and signed, and a copy was printed and added to the medical record file. As EHRs have replaced paper charts, doctors have found themselves typing and navigating computer screens. The results have often been a reduction in the quality and duration of their interactions with patients, and an increase in frustration due to the perception of time spent on clerical tasks at the expense of actually practicing medicine.

If the solution is taking the clerical data entry aspect of documentation off the practitioners’ plate, there are various options to consider: speech recognition, scribes, transcription, and hybrid methods. While there are pro’s and cons of each, transcription is enjoying a resurgence because it’s a natural, non-intrusive, and accurate way of capturing complex thoughts. How Science Is Going To Save Your Cannabis Business: Marketing cannabis and the products that accompany recreational use is set to become one of the biggest industries in the United States. With 29 states promoting legal medical cannabis, 14 with it decriminalized and 8 having legalized it completely, you might be thinking this will be the easiest ad-campaign of all time. Unfortunately, science suggests otherwise. The Science of Marketing You heard correctly, marketing is a science, but almost half of what we know about the process cannot be applied to cannabis. Why? Because cannabis lives in the grey area of the American psyche. How do I know this? Science. In 2015, I completed and published The Safe Haven theory, a socio-demographic linguistic analysis of attitudes toward recreational drug use in the United Kingdom. I won't bore you with the intricacies of the study, but the findings are important. The study, using theoretical sociological trends, found that even non-recreational drug users in the United Kingdom favor cannabis legalization. A great number of police jurisdictions have chosen to not longer punish cannabis users, meaning that the law is (mostly) on our side – the side of full legalization and taxation of cannabis as a product for recreational usage, not so dissimilar from alcohol. In the UK, we could easily put a huge billboard of someone's grandmother smoking a spliff and make a million on the first day. Unfortunately, the same can't be done in the United States. Advertising law aside, Americans just don't have the same view of cannabis as Brits. In the last two years, I applied the same framework to a host of American demographics, and – as I hypothesized – localism rules the American market. If you live in a Red town and you're a recreational cannabis user, stigma will prevail over the scientific data, and changing that stigma is almost impossible without hard scientific evidence to back-up the marketing campaign. Qualitative research is key when understanding why people buy into particular industries. This might not be the general belief held by most folks in advertising, as stats and numbers are distinctly easier to work with. However, as last year's General Election and Brexit vote showed: numbers can lie. Therefore, the best means of understanding what people really want is to actually talk to them – and I mean in-person. Marketing rules are shifting. More and more, the heads of marketing departments are turning to scientific and scholarly data to assess the current trends in social development, molding their campaigns around this data as a means of showing that they are industry leaders in understanding the phenomena, as well as speaking to target buyers in their own language. Am I being too wordy? Let me put it simply. Say your new product is an indoor indica strain with sleep/stress aid properties, this is how you should market it to three specific demographics: Californian recreational smoker in the 50+ age demographic with a moderate knowledge of cannabis strains, “Indoor indica, grown locally with minimal chemical input, good as a sleep aid and positive for stress reduction.” New York medical user, 30+, business background, “This strain is an excellent sleep aid, can decrease stress without taking off the edge of your day-to-day workload; highly recommended for those employed in a full-time, private sector position.” Small town with predominantly low-income demographic employed in blue-collar industry, “affordable means of relaxing after a tough day at work that won't give you the same cancer risk as tobacco.” We market the same strain to each of these demographics, but the language used in the campaign is more important than the product itself. In the UK, the same strain would be marketed across the country using something like: “Dank strain with sleep aid and relaxation properties, best for chilling out at the end of the day – definitely not recommended prior to work!” What this means for the United States cannabis marketing specialist is simple: you need to invest as much as you can in getting scholarly researchers out into the field and figuring out the local socio-demographic linguistic trends for your target buyers. Luckily, this can be a fairly affordable means of research. Marketing specialists have two options in uncovering this data: Use students currently enrolled in universities and colleges, either offering paid internships or college credit for bulk research. Hire an academic consultancy corporation. This is rapidly becoming a norm in for companies looking to expand their marketing by using scientific data, particularly in industries related to sport and the outdoors. Just like how Pepsi really missed the mark with their latest failed advertising campaign, cannabis companies are at significant risk of ostracizing themselves from a wealth of demographics that would otherwise be open to recreational or medical cannabis use as an alternative to harsh pharmaceuticals, alcohol and even some forms of therapy. Language is key, and if you can't talk to your buyers on their level then you've already lost your edge over the competition.
