Ich muss nochmals zur @dmexco zurückkommen: Tag 2 war nämlich sehr viel besser als Tag 1. Ich habe gelernt, dass Vorträge mit Substanz jetzt „Masterclass“ heißen. Sehr wohltuend fand ich die einstündige Gruppendiskussion von @brand_eins zum Thema „Neugierde und Kreativität in Krisenzeiten“. Brand Eins ist ja selbst aus einer Krise heraus in der jetzigen Form entstanden. Und recht amüsant: Das Cover mit „Keine Sorge. Das ist schon wieder nicht das Ende“ ist schon viele Jahre alt und wird immer wieder mal hervorgeholt. Ich nehme es mir als Mutmacher, denn meine Auftragslage ist aktuell ganz deutlich krisengebeutelt. Die Kund*innen sind mit Aufträgen sehr zurückhaltend. Organize events - this is how it works
Meetings, congresses and events are still growing.They form an important component in the marketing plan and can be used excellently for customer loyalty, image enhancement and further training. Whoever organizes them has to consider a lot. This 10-step plan is intended to help.
1. Define the idea, goals and target groups
The foundation stone for every event planning is the idea with the definition of the goals and the target groups. Check what you want to achieve with the event. Does it serve for customer loyalty? Do you want to increase your image with it? Does it serve for further training and team loyalty of employees? Write down the goals and use them as a basis for further planning. It is also important to narrow down the target group. Is it an event for your customers, for new customers, for partners or for your employees?
2. Type, topic and motto of the event
What kind of event should it be? A seminar, a conference, a trade fair, a festival, a congress, an evening event, an exhibition, an award ceremony, a press conference, a roadshow or a team event? Under which topic the event should be announced? Can you also create a motto?  This year it's “Trust in you”. It is even made known with a press release.
3. Date, time & place
Think about a suitable date for the event. Also note other important dates - there is no overlap with important trade fairs. Also consider an alternative date. Then determine the time frame in which the event takes place: Is it a seminar in the morning or a workshop at lunchtime, an award ceremony in the evening, a one-day or two-day congress, a five-day roadshow through Germany or a team event on the weekend? Where should the event take place? Do you have your own company premises or do you need to find a suitable event hotel? Is the venue easily accessible? Do you need a shuttle service? If sustainability and ecology are also involved, a suitable location with catering should be found.
4. Number of participants
Who is invited to the event? How many participants do you expect? Do partners and children also come? How many employees are there? Depending on the number of participants, the appropriate location must be found.
5. Budget planning and sponsors
Before you start with the detailed planning, the available budget should be clarified. Do the participants pay a small contribution or do they fully cover the expenses? Have you found a sponsor or can costs be redistributed to partners?
 6. Program and Responsible
Put the program together. Who are the key note speakers and lecturers? Is there a summary using graphic recording after the presentations? This campaign was very well received at the Dialog Summit.  Determine when and where: welcome and lectures on the main stage, masterclasses in rooms 1 and 2, action 1 in the foyer, action 2 in hall 3 and action 3 during lunch. Also set out in a briefing for all responsible employees (list) who is responsible for the various actions and who is responsible for the various actors. Remind all keynote speakers and speakers 1-2 weeks before the event. Not that the date was entered incorrectly in the calendar and that you have to find a suitable replacement shortly beforehand.
7. Seating

8. Find service providers
Depending on the size of the event, the event can be organized and carried out by yourself. But maybe you need support from service providers. This can be, for example, an event agency that takes care of everything. You may need a photographer, stage builder, artist, film and music expert, moderator and speaker, support for outdoor programs or for transportation. 
9. Security and Co.
Requirements such as fire protection, medical services, GEMA and curfew must also be observed. It will certainly not go down well if the music has to stop abruptly after 10 p.m. because the police are at the door to disturb the peace.
10. Advertising before, during and after the event
  Invite early to the event via letter mail and e-mail. All important information should be on the website. Do not forget the announcement in the various social media channels and via press release.  During the event you may need a conference folder with a program and a press kit. Don't forget speaker signs and name tags. You can also draw attention to yourself with roll-up displays. After the event, you can conduct a customer satisfaction survey and learn from the answers for the next event. Such a survey gives answers about what was particularly well received: Was it the keynote lectures, the masterclasses, the award ceremony or the samba dancers? You can also use positive statements to advertise the next event. Send the shown PowerPoint slides to the participants afterwards and thank them for participating. If you know it, don't forget to mention the date for next year. Event marketing is ideal for acquiring and retaining new customers. You meet the decision-makers from the industry at the trade fair or congress event and can convince the customer in a direct conversation. Event planning is an important part of the marketing plan. Questions need to be clarified, such as: At which trade fairs do we exhibit? Are we doing a roadshow? If so, with partners or without? Which venue suits us? Which professional service providers do we work with? A reason to think about event planning. These 12 tips should help you.
1. Define the goal and target group
Before you start the actual event planning, it must first be clarified which goal you are pursuing with the event. Does it serve the acquisition of new customers, customer care or do you want to make a statement and polish up your image? Or are you a trainer / organizer and workshops and seminars are your business model? Which target groups should be addressed: B2B, B2C, dog lovers, millennials, over 60s, motorcycle enthusiasts, architects or construction machinery fans? Document your event idea and the goals that are being pursued with it, regardless of whether it is a trade fair appearance, workshop, roadshow or a company anniversary.
2. Set the budget

3. Organization
The goal is defined and the budget set. Now it's time to organize and schedule. If you rely on an event agency for the organization and implementation, you will find it

5. Location and location

 10. Advertising, social media and PR all about the event
An event website is a must. Invite personally with a flyer, post and e-mail. Announce the event on specialist portals. Clarify whether an event app is necessary. The date and place should not be missing from the announcement. You can also provide directions on how to get there by public transport and by car.
