What Makes Real-Time Scribing Different from Asynchronous Documentation?
In the healthcare industry, it is crucial to record encounters with patients accurately and with great efficiency, but methods are absolutely diverse. Asynchronous documentation and real-time scribing are some of the as many methods and processes available, each has its unique set of advantages. As healthcare providers, understanding the differences between these methods will enable one to come up with the most appropriate method for their practice.
Key Takeaways
Real-time scribing involves live documentation during the patient visit, enhancing provider-patient interaction and accuracy.
Asynchronous documentation allows providers to record encounters and finalize notes later, offering flexibility but requiring follow-up time.
Both approaches can reduce administrative burdens, improve patient care, and streamline workflows when outsourced effectively.
What is Real-Time Scribing?
Real-time scribing happens during the patient encounter, with a scribe present (either in-person or virtually) to document the visit as it unfolds. This method ensures that clinical notes are completed instantly, leaving little to no additional administrative work for providers after the appointment.
Benefits of Real-Time Scribing
Enhanced Patient Engagement Providers can focus fully on their patients, knowing that their scribe is accurately documenting the visit. This builds trust and improves the patient experience.
Immediate Documentation Accuracy With a scribe capturing details in real-time, the likelihood of errors or missed information is significantly reduced.
Streamlined Workflow Notes are completed during the encounter, so providers can move on to the next patient or task without delay.
Compliance-Friendly Real-time scribing ensures that documentation adheres to compliance standards like HIPAA and CMS guidelines, as scribes are trained professionals.
What is Asynchronous Documentation?
Asynchronous documentation involves recording patient encounters for later transcription or review. Providers often use voice recordings, video, or written notes to document the visit, which are then transcribed by a medical scribe or software solution.
Benefits of Asynchronous Documentation
Flexibility for Providers Providers can focus solely on patient care during visits and handle documentation at a time that fits their schedule.
More Affordable Option Asynchronous scribing can sometimes be more cost-effective, as it doesn’t require a real-time presence.
Ideal for Low-Volume Practices For practices with fewer patients or irregular workflows, asynchronous documentation can be an efficient way to manage records.
Customizable Documentation Providers have the opportunity to review and refine notes, ensuring they meet the required level of detail.
Real-Time vs. Asynchronous: Key Differences
FeatureReal-Time ScribingAsynchronous DocumentationTimingDocumentation occurs during the visitDocumentation occurs after the visitProvider InvolvementMinimal, as the scribe manages notesRequires provider follow-up for reviewSpeedInstant completion of notesDelayed note finalizationPatient EngagementHigh, as providers can focus on patientsModerate, as notes are completed laterBest forHigh-volume practices, time-sensitive workflowsLow-volume practices, flexible workflows
When to Choose Real-Time Scribing
High patient volumes that require rapid documentation turnaround.
Providers looking to reduce after-hours charting and burnout.
Practices focused on improving patient engagement and satisfaction.
When to Choose Asynchronous Documentation
Practices with lower patient loads or those prioritizing cost efficiency.
Providers who prefer flexibility in completing documentation.
Situations where reviewing notes in detail post-visit is necessary.

Can I use asynchronous documentation for telemedicine visits? Yes, asynchronous documentation works well for telemedicine, allowing providers to record sessions and complete notes at their convenience.
What kind of training do outsourced scribes have? Outsourced scribes, like those at Staffingly, are trained in medical terminology, HIPAA compliance, and industry documentation standards.
