What if a writer can't make a check in? Is it just filling out a form (stuff you can do on the go) or do you have to upload your fic or anything like that?

Check-ins are mandatory, but low stakes. The purpose of the check-ins are to give writers some accountability so that they continue to be motivated throughout the creation period and to ensure that they communicate readily.
Officially, check-ins will just be filling out a Google form to answer some brief questions about how your fic is going and if there is anything you want to report (changed plan, new ship, starting over, month long vacations that will slow you down, etc).
People are always welcome to check-in early or request a check-in extension. If absolutely necessary, while it's inconvenient for book-keeping purposes, writers can check-in directly with a mod over Discord. If there is an extended period that someone will be unavailable, all they need to do is to let us know. Our goal is to make it very difficult to miss a check-in 😂
If a writer does miss a check-in, first they would be hounded by mods reminding them to fill out a form or even to just answer the questions directly to them. If we do not hear back or receive any check-in in a week, that will be a "strike." If a participant with a strike misses a second check-in and we do not hear back in a week, they will unfortunately be dropped from the event.
Due to the collaborative nature of this event, communication is vital. We cannot, in good faith, pair an artist to a participant who is known to not be reachable and who fails to communicate about when they are not available.
The only check-in where writers will have to upload a copy of their writing is Writer Check-in 4. Extensions will also be available for this check-in upon request, but it should be noted that there is a hard deadline on September 8 (the day before fic summaries go live for previews). Fics submitted after that hard deadline will be included in our Doodle Tier.
