10 Rainy Day Activities for Families

Spring means warmer weather, but it also means more rainy days in the forecast. Don’t let having to stay indoors keep you from having fun! At Educational Playcare, we ensure our students have fun rain or shine, which is why “Fun” is one of our Core Values.

Below are 10 great family-friendly activities you can do when the rain just won’t go away!

Children love to use their imagination, so why not spend the day enjoying fun process-driven art projects. Families can even display everyone’s projects in one place in the house and host an art show.

Have a dance party. Put on everyone’s favorite song and let out some energy. You might even want to create your own dance routine.

Build and create with STEAM-inspired activities. At Educational Playcare, we understand that it is never too early to introduce STEAM learning to children, which is why we encourage STEAM activities in our learning centers. Rainy days are the perfect time to explore and discover new skills through STEAM activities.

Visit an indoor play gym for children. Indoor play gyms are great for children who love to be outside. Most indoor play gyms are equipped with slides, dramatic play areas, and sports areas.

Make your own instruments. Use everyday items around the house to create your own instruments and create your own song or put on a show.

Visit a museum. Explore your town or a city close by and visit a museum that you’ve never been to. Use the time to encourage your child’s passion by visiting a place that highlights something they like, or use the time to experience new opportunities to explore possible new passions.

Have an indoor scavenger hunt. Create a list of items throughout the house and go on a scavenger hunt. Whoever finds the most items from the list gets to pick the next fun activity for the family to do!

Play dress up. Dramatic play is a great rainy-day activity that allows families to really use their imagination. Create your own costumes and act out a favorite book or movie, or come up with your own play.

Visit a library or host a “Book Fair”. Spend the day finding new books for your children to enjoy. If you don’t have time to make it to the library, dig up their books – especially those they haven’t read in a while – and set up a “book fair” for them to attend.

Play in the rain. If the weather isn’t too bad or dangerous, head outside and splash around in the puddles!

How to Keep Track of Your Food Expenses

Keeping good records of your food expenses seems simple enough if you are a family child care provider who uses the standard meal allowance rate.

But many child care providers fail to keep the records they should. As a result, these providers lose hundreds of dollars of business deductions when audited by the IRS. I’ve seen it happen over and over again.

The IRS standard meal allowance rate allows you to claim your food expenses without having to keep any food receipts! Instead, you must keep the following records: the name of each eligible child, dates and hours of attendance in the family day care, and the type and quantity of meals and snacks served.

If you are on the Food Program your monthly claim form contains all of this information.

The Problem

The problem is that most child care providers serve meals and snacks that are not reported on their Food Program monthly claim form. This includes meals and snacks served that are beyond the three servings a day per child that can be reimbursed by the Food Program. It can also include meals and snacks that were disallowed by the Food Program.

You are entitled to deduct up to one breakfast, one lunch, one supper and three snacks per day per child, if you serve that many. Meals and snacks served to children that are not reimbursed by the Food Program do not have to be nutritious. See my article,“What is a Popsicle Worth to You?”

Unfortunately, many child care providers assume that they can claim these “extra” meals and snacks without keeping any records. I hear providers tell me, “It’s in my contract that I serve an afternoon snack,” or “I always serve an afternoon snack.” This is not enough. In an audit the IRS can say, “Since you didn’t keep a record during the year, I’m going to deny this afternoon snack.”

Losing this deduction can be a big deal. One snack a day served to one child for a year represents a $189.80 deduction on your 2019 tax return.

The IRS rule requires you to keep a daily record of all meals and snacks served. This can be as simple as recording “Sally, Monday afternoon snack,” or putting a checkmark next to a symbol for a snack each day.

You can track this information if you use the accounting section of the KidKare software program. Or you can use a log found in the annual Redleaf Calendar-Keeper (The log is free online). Or, you can use any spreadsheet to track these meals and snacks.

How to Catch Up

If you don’t have a daily record showing all the un-reimbursed meals and snacks you served so far this year, what do you do?

Let’s say you always serve an afternoon snack. Put each child’s name on a piece of paper and use your attendance records to record how many days the child was in your program from the beginning of the year until now. Show your results by month (“January – 22 snacks, February – 20 snacks,” etc.).

Ask the parents of each child to sign the bottom of the paper where you have written, “This represents the number of afternoon snacks your child was served in my program from January 1st to _____.” If you occasionally served a dinner or took children to a fast food place for lunch, add this to the paper. The parents will know that their child ate these meals and snacks and should be happy to sign it.

From this day forward, keep a daily record of the “extra” meals and snacks served to the day care children. It’s okay to go back and reconstruct these records for part of a year, but don’t make this a habit. Record these meals and snacks each day going forward. Some Food Program sponsors will allow you to record your “extra” servings on your monthly claim form. Ask them if this is okay before you do so.

The Big Three

The tracking of these meals and snacks is one of the top three things you can do to reduce your taxes for 2019. The other two are: keep track of all the hours you work in your home (particularly when children are not present) and save receipts for all expenses associated with your home.

Ways to Stay Present

Raising a family can be hectic, stressful, and can take a toll on your mental and physical health. Balancing a career and family can be a challenge and parents can often feel that they are not spending the quality time they want with their children due to being pulled in so many different directions and thinking about what needs to be done in the upcoming days and weeks. It is important that families take a step back from being caught up in the busyness of every day life and really enjoy the present moment. At Educational Playcare, being in good physical and mental health is very important to us.  That is why wellness is one of our Core Values. This week’s blog provides tips to help families slow down and really enjoy time with each other.

One way to help families feel less rushed throughout the day is to plan ahead and stick to a routine, though that doesn’t mean that you should create a schedule that dictates every moment of your day. For example, families can plan meals ahead of time and then go grocery shopping once a week. This will help eliminate unnecessary trips to the store throughout the week because you don’t have the ingredients, and it will help you to save time and money. Depending on your family members’ schedules, you may also want to start a new routine by picking a specific time each day or a specific day of the week to dedicate to spending time together as a family. This is a great opportunity for families to do some of their favorite activities together or try something new.

Many families do their best to limit their children’s screen time but it’s important to remember to practice what you preach. When we have our phones or tablets near, we all have the urge to take a minute to check our social media pages or emails. When it comes to spending time with your family, even during the few minutes that your child is recapping their exciting day or while you are helping them with their homework, make sure to unplug by leaving your phone in another room so that you can really focus on and enjoy whatever activity you are taking part in with your family.

Another great way families can learn to stay present is through yoga. Some people may think that yoga is just for adults, but it is actually a great activity for the entire family. At Educational Playcare, we offer yoga as part of our Quack Pack Program. Yoga offers many benefits including enhancing body awareness, cultivating a peaceful and relaxed state of body and mind, and increasing self-esteem. Practicing yoga even has benefits for babies. Yoga can help babies sleep better, get relief from gas pains and colic, and it helps them to digest their food better too. Even if it is just for a few minutes each day, children can learn to understand the value of quiet, peaceful stillness through yoga.

Some days no matter how much planning you put into ensuring the day runs smoothly, things just don’t go your way. If this is the case and you know your day will be full of playing catch up, involve your children where you can. Dinner can take up a large part of the evening between preparation and clean up, so why not have your child help you out? Even if the actual dinner preparation is something they can’t help with, find age-appropriate tasks they can help with such as setting the table or clean up after themselves. This gives families the opportunity to spend time together and also encourages children to follow directions. You may be able to get some of your tasks done faster on your own, but you never know what memories you might make by involving your children in the everyday activities they normally may not be a part of.

When we spend time with our children, it can be difficult to fight the urge to pick up our phones and snap a picture or video of them, especially when it seems that each day they are doing something new and incredible. Naturally, families want to document the big moments, like the first time your child rolls over or when they take their first steps, but we encourage families to try their best to step away from being behind the camera and be present to enjoy each moment they spend with their family.

Lessons from the 2018 Tax Season

The 2018 tax season is over! (Except for those family child care providers who filed an extension).

Based on reviewing dozens of 2018 family child care tax returns and answering many questions from providers by email and on the phone, here are some of the lessons learned:

There were major changes in the tax rules for 2018 and this caused a lot of confusion for many family child care providers. There was the new Qualified Business Income Deduction, the higher standard deduction, the new Form 1040 and five additional schedules! Many providers turned to tax professionals and online tax software programs for help. Unfortunately, in some cases this professional help did not always understand the unique tax issues facing family child care providers.

A number of tax professionals did not allow providers to depreciate their home. They did so in the belief that by doing so providers could avoid paying taxes on this depreciation when they sold their home. This is terrible advice! Providers will always have to pay tax on their home depreciation whether or not they actually claim the depreciation! So, providers are always better off depreciating their home. Home depreciation is claimed on IRS Form 8829 Expenses for Business Use of Your Home, Part III. See my article:

I saw many tax returns where the provider did not subtract the value of the land when depreciating their home on IRS Form 8829, line 38. Home depreciation is based on the purchase price of your home, minus the value of the land at the time you bought it, plus any home improvements you made before your began your business.

Some tax professionals refused to allow providers to use IRS Form 3115 to recapture previously unclaimed depreciation. This is a major mistake. You are entitled to use this form to go back to the first year you were in business and claim any depreciation that you were allowed, but didn’t claim. This includes house depreciation, home improvements, furniture, appliances, and all items you owned before your business began. If you haven’t claimed this depreciation over the past years, file Form 3115 with your 2019 tax return and claim these deductions. See my article “How to Claim Previously Unclaimed Depreciation.”

Here were the most common mistakes made on providers’ 2018 tax returns:

Failure to save receipts and deduct expenses associated with the home. This includes cleaning supplies, furniture, appliances, yard supplies, and other household items.

Failure to claim all the meals and snacks served to the children, particularly those that were not reimbursed by the Food Program.

Failure to count all the house spent on business activities in your home, particularly those hours when children were not present.

When all children stay home because they are sick, can I count hours because I’m open?

You can count hours your home is used for business when calculating your time-space percentage. This can be whenever children are present or when you are doing some business activity in your home when children are not present. But, if no children show up you can’t automatically count time because you are “open.” If you are doing record keeping or activity planning, etc. on that day, you can count that time.

Helping Your Child Learn to Ride a Bike

Children love spending time outside and the importance of outdoor play for young children cannot be overstated. That’s why Educational Playcare brings learning to the great outdoors with spacious playgrounds that allow our teachers to bring the fun outside. As the weather warms up, and families begin enjoying outdoor play more, we can’t think of an activity that’s more fun than teaching your child how to ride their first bike.

Although it can be challenging for your child and take longer for them to master than they’d like, learning to ride a bike is a lot of fun, which is one of Educational Playcare’s Core Values. If your child becomes frustrated during the process, stay positive and remind them that some skills take longer to develop than others. If possible, allow your child see the enjoyment that comes from bike riding as they watch you riding a bike yourself.

Being a role model for your child is an important part of helping them learn how to ride a bicycle. Not only will your confidence while riding make them more excited and comfortable with practicing, but you also have the opportunity to show them how to safely ride a bike. When riding your bike, be sure you are wearing a helmet and explaining to your child the importance of it while stressing that despite the precautions, there is nothing to be afraid of. Your child may not want to wear a helmet at first, so we suggest allowing them to pick one out so that they are more excited about it. You may also want to get a set of knee and elbow pads.

In the beginning, make sure your child’s bike has training wheels. They will help your child to develop the balancing skills they’ll need as they get on and off the bike and begin to move forward and steer. Once your child is comfortable on the bike, it’s time for them to learn how to pedal. At first, have them pedal slowly as you walk alongside them. Even though the bike will still have training wheels, your child will likely feel more comfortable knowing that you are there with them and can assist if needed.

To get your child more comfortable with the feel of the bicycle, have them use the pedals while you hold the bike upright. This will help the child get the feel of the bike. Talk to your child about their level of comfort and keep reinforcing that the bike is safe. Once the child gets comfortable with the bike, you can let go and simply walk or jog behind them.

In time, your child will grow more confident and then it will be time to learn to ride the bike without the training wheels.  The first thing to do is to pick a safe location. The best spots are flat, wide-open spaces where there isn’t a lot of traffic, such as a school parking lot on a weekend. I Don’t Think I Can File My Taxes by April 15 – What Can I Do?

The tax filing deadline of April 15th is fast approaching and you haven’t filed your family child care tax return yet.

Don’t panic. If you need more time you can file for a six month extension.

Sometimes child care providers need more time to calculate their depreciation deductions, sort out their records, or deal with a family emergency. However, you don’t need to give a reason when you file for an extension.

File Form 4868 Application for Automatic Extension of Time to File U.S. Individual Income Tax Return. This will give you until October 15th to send in your tax forms.

By filing Form 4868 you do not have more time to pay the taxes you owe. They are still due on April 15th. If you don’t know how much you will owe, pay what you estimate you will owe with this form. If you underestimate this amount, you will owe interest on the unpaid taxes. If you overestimate, you will get a refund.

The Importance of Business Liability Insurance

Do you know what to look for when buying a family child care business liability insurance policy?

Not all business liability insurance policies are the same. There can be big differences in what the policies cover, from one policy to the next.

The National Association for Family Child Care, several insurance agents and myself have created a checklist of Ten Questions to Ask Before You Purchase Family Child Care Business Liability Insurance to help you pick the right policy.

Here’s an insurance directory of insurance companies and insurance agents that offer business liability insurance policies, homeowners’ insurance policies and car insurance policies in your state.

Importance of Business Liability Insurance

All family child care providers should purchase professional business liability insurance to protect themselves against the risk of caring for children in their own home.

These risks are real: the children in your care can get injured, parents can sue you for child neglect or failure to adequately supervise their child, and so on.

Professional business liability insurance can reduce these risks so that you can sleep at night and not worry about any of this.

Warning: your homeowner’s insurance policy will not cover you for accidents and lawsuits related to your business.

We strongly recommend that you shop around and get the details of an insurance policy from at least three insurance companies. Ask for a copy of the policy and compare coverages and price.

Use this Ten Questions to Ask Before You Purchase Family Child Care Business Liability Insurance to help you compare insurance policies.

The cost of an insurance policy, in general, is related to the coverage it offers. A cheaper policy will probably not cover you for as much as a more expensive policy.

We also recommend that you purchase more coverage, rather than less coverage. Ideally, you should have a policy that covers for $1 million per occurrence and $2 million aggregate. The difference in cost between this coverage and the lowest amounts of coverage are probably very little.

5 Spring Cleaning Tips

Spring has finally sprung, and with the weather warming it is the perfect time to open the windows, roll up your sleeves, and get a start on spring cleaning! Before we start enjoying the outside as much as we can, it may be a good idea to tackle the inside of your house by cleaning and getting things back in order after a long winter.

Here are 5 tips that will not only get your house clean but help keep your family organized help you save time.

Create a plan and stick with it. Even though families may want to move through the house as quickly as possible, we suggest coming up with a plan that allows you to spend a decent amount of time going through each room or area in your home. Whether it takes one day or an entire week, move at a pace that works for your family and schedule. By creating a plan to spend a certain amount of time in each room or area of your house, you can focus on really cleaning and organizing each space. Families may also want to create a list of items you want to go through, clean out, or organize for each room to stay on track.

Get the whole family involved and make it fun. Cleaning may not be your typical family activity, but it is one way to spend quality time together. At Educational Playcare, having fun is one of our main goals, even during every day activities. Making cleaning and organizing more fun can be as simple as playing music and busting out your best dance moves while cleaning or sharing a fun memory for some of the items you are discarding or donating. Families can also make cleaning a game by having a race for who can do a certain task the fastest or most efficient, or you can give each family member points based on different tasks and whoever has the most points by the end of the day can pick a fun activity for the whole family to do.

Give everything a home. It’s easy in the rush of everyday life to put things anywhere they fit in order to keep the house clean and tidy. Take the time to go through different items in the house and give them a proper home. Once established, ensure that going forward, those items are always put back where they belong. This will not only save your family time from searching for something they need but it will also make cleaning up a breeze.

Use technology to your advantage. If you have paperwork that you need to keep but prefer not to waste storage space, take advantage of your phone and computer. Scan and save documents to your computer so that they are stored in one place, organized how you need them, and easily accessible. We suggest saving a backup of your files on a flash drive that’s kept in a safe place. You can also browse the app store on your phone to see what organizational apps are available that would work best for your different needs.

Give back to your community. At Educational Playcare, we strive to give back to our community as much as we can. It means so much to us, that Community is one of our Core Values. When families are going through toys and clothes, don’t just look at what items can be thrown away. Many items will likely still be in good condition, but just aren’t used anymore. Consider donating these items to a local shelter or charity. Going through these items with your children provides a perfect opportunity to teach your children about giving back to their community.

If you are also going to be cleaning your house – washing, dusting, vacuuming – be sure you are aware of how easily your children can get their hands on any cleaning products you use. Be sure they are kept in a cabinet or closet that has childproof locks or are too high for your children to reach.
