Ortiz Report: Baxter Community College Case Study
Hello! I am back with another case study from one of my classmate’s given report. This one is about System Analysis. This Topic entails a lot of subtopics, but to briefly summarize it, System Analysis is taken in the means of achieving a full knowledge of a system and/or its functions to carefully identify its major objectives or goal. It is somewhat a problem solving technique that progresses the system and make sure that every components of it will work accordingly and efficiently to achieve its purpose. Apparently, analysis picks or species what a system should be.
Questions:
1 Make a list of the topic you think Todd should cover during the interview
Below are some of the topics I would be discussing:
- How much are they willing to spend for it
- How many units do the does the organizations need
- What are the processes so proper functions will be added
- What other information do they store and disseminate
- Any additional suggestion
2 Prepare a list of specific questions that Todd should ask. Include open-ended, closed-ended and range-of-response question
- How much are they willing to allot for the project?
- Are they willing to take measures for this changes?
- Approximately how many units will the organization be needing?
- Approximately how many letters are generated per year?
- How much time will they be giving for the project to be completed?
3 Conduct student to student interview, with half the students assuming Todd’s role and the other half playing the registrar
Although, I am not able to conduct an interview because of lack of access to the outside world due to pandemic, i made a scenario in my head on how the interview would have turned out.
The scenario will basically just be about question and answer between the people playing Todd’s role and people playing the registrar’s role. Questions stated in number 2 are the most common and relevant interrogation that can be taken in this context.
4 Document the information covered during the interviews
The scenario included half of the people first hand experiencing all the actual happening within the organization and another half just taking note of the things that they experience to take it as a basis of what the system they are creating is supposed to be. In that scenario, there is a give and take flow of information that leads to developing a solution.
Providing the relevant information that would lead to a follow up useful questions and the flow of ideas continue.

Magallanes Report: JAD Session 1 Case Study
And here is another case study taken from a lecture video uploaded by a classmate. This one is from the topic PROJECT PLANNING. From the title itself, you already know what it is all about. But to give you a brief explanation, Project Planning is an approach for creating a completed project within a give time period. It usually goes through stage and with different types of resources.
Questions:
1 How would you advise the project leader?
- If I were to give my insights, i would suggest that choosing an o-site location for the JAD project will be more practical as every operations are caught and easily monitored. This way, a wider scope of the project will be considered and will drain down to what needs to be given more attention.
2 Who should be on the JAD team, and what would be their roles as team members?
- On the JAD Team should be a team of experts in different area of the field: Project Manager, Analyst, Web Developer and other IT professionals.
3 The JAD project leader asked for advice about how to get the first session started. How would you reply ?
- As always, first session will start with a meeting between the people behind the project and the client. Talk about the things that the organization is having trouble with, things to be improved,things to be changed and things to be kept. That way, no resources will be put into waste.
4 You invited the senior vice president to the ongoing JAD session, but she says she is quite busy and might not be able to attend unless it is important. What would you say to her?
- If I am in this position, I will let the Senior Vice President how important this session is. This will be revolving around developing a system that would help transact faster and more efficiently. It would be mean a lot if the SVP will be able to attend and witness what your team can offer and also give his insight to create a better output.

DATA VISUALIZATION SEMINAR 2021
UTILIZATION OF POWER B.I : ADVENTURE WORK REFLECTIONS
Another seminar filled with “whoa” , “ oh that’s cool” and all other expressions there is when you see something unusual. I wouldn’t say that the topic for this seminar was all new to me, but there was definitely some wow factors in it.
During other past seminars, we were introduced to different software used for gathering data to create an outcome and we pretty much did the same thing on this one. However, Power BI is undeniably easier that WEKA.
The whole seminar lasted for approximately two hours. It did not spark my interest as it is not really my thing, but Sir Julius was a game changer. He talks about terms that are easy to understand and also throws occasional punch lines that awakens our sleepy mortal souls. Again and again, internet connection was a little mood killer, but it was overall fun and full of new takeaways. Here are just some of the things I got from that seminar:
1. Data visualization is the representation of data or information in a graph, chart, or other visual format. It communicates relationships of the data with images. This is important because it allows trends and patterns to be more easily seen.
2. T he main goal of Power BI is to make the process of interpretation of large volumes of data easy for the users. This tool is easy, fast and robust which makes it possible even for the non technical people to analyze the data visually.With Power BI simple drag-and-drop user experience. You can quickly find the insights you are looking for and visualize them in beautiful, interactive reports.

MS EXCEL SEMINAR
MS EXCEL TRAINING: REFLECTIONS
It was a two hour long virtual seminar, and frankly, I’m the one that easily gets bored on virtual activities with no one next to me. Definitely a bummer, but as they say, “there is always a rainbow after the rain”.
It may be boring and blood dryer, I actually have some takeaways that definitely made the two-hour-sitting-on-a-chair-with-no-foam worthwhile.
Let me tell you why:
1. I admire the expertise of Sir Calag.
Of course, this reflection is not about Sir Calag , but about what Sir Calag taught. I’ve had several experiences before where I had to utilize MS EXCEL. It wasn’t much of a technical-genius kind of utilization, but at least the basic ones. The seminar gave me a refresher of all those things and also added new learning. I’m not gonna lie, I won’t be able to retain all of those and I’d probably end up being dumbfounded if you would ask me ti give a detailed review of the topic in weeks from now. But after all, the seminar was informative and useful.
2. The wonders of MS EXCEL.
For certain, we all know the essence of calculation-- Addition, subtraction, division, multiplication, statistics, and an eternity of all other equations. If we have calculator to do us MATH and itemized calculation, then we also have MS EXCEL that can do a magic. It is amazing how each features work. The sheets, rows, terms like “RIBBONS”, “FORMULA BAR” and so much more. There’s so much more going on with this single software. From the storage, sequential data, conditional;, cell formatting and so much more, I would say that people who do not have this software in their computers have committed a what i call “COMPUTER MORTAL SIN”.
3. Formulas and Functions
I mentioned a teaser above about the calculation. But let me walk you down to a more informational lane about it. In MS EXCEL, it doesn’t just calculate by itself. There is a formula behind it. I remember when I was still taking up engineering, I have to memorize a lot of formulas and processes about EXCEL. Of course, that was eons ago so I already forgot majority of them. The seminar refreshed my memory about the Drag and Drop Method and extracting data using different formulas and some other parts of it. I was actually thinking of how I can make a compare and contrast about programming and Excel usage, I couldn’t find the right grounds for it but I know there is a big correlation.
Before I totally put an end to this little reflection of mine about the seminar, I would like to provide the most highlight of the whole topic.
This whole thing was actually something that I’ve already encountered in some seminars, major subjects from my past and current course, and in my previous workplace. SORTING AND FILTERING is just one of the most basic thing that we use in my previous workplace, and definitely something that was already buried in the deep part of my brain. So when Sir Calag mentioned it, my sleepy soul immediately rose from the bed. it will always be my favorite part of using EXCEL. I remember in Senior High and my other workmates before would spend extra time cussing while scrolling up and down looking for a certain data, while I sit back and use this method. Those are good old days and they made me feel like a GENIUS for FIVE GOOD SECONDS just because I taught them about it. It was outrageous. SORTING AND FILTERING was definitely the best treasure I dug in this free seminar.
Nevertheless, this is where I end my reflection about the seminar that we just had recently. To whoever is reading this content, thank you!

CASE STUDY 3
A Reflection: Three Episode Guide For A Thorough Review
Honestly, I'm not that much of a K-Drama person, but for the sake of one of our major subjects, I dived into this korean series called Start-Up. It was indeed an interesting one and I could go on a long list of reasons why I said so.
However, I would only be focusing on how and why this specific series can be related to IS and my subject -- System Analysis and Design.
This series is obviously not just for K-Drama watchers, but also for the ones who are learning by taking the mazes of IT/IS and Business. As someone who is currently gaining a degree in IS, which is basically a technical-business course, I would say that this series is pretty much an art that paints the scenario of being in this field. I'm not gonna go on specifying the scenes in that series, but I'll directly jump on the practical and real life relativity of this to SAD and IS.
It is a show that showcases the life of youngsters who are barely getting by and just striving to get into a successful business venture. Now, business is a critical field. Nowadays, you cannot efficiently run and grow a business without the use of technology and we have our IT masters behind all the systems and planning of every organization. And behind every curtain are people that work on troubleshooting and creating "magic" that are not seen or displayed in every front door of a business establishment. And I aspire to be one of those people "behind the curtains". In this series, you'll see how one goal becomes more attainable with teamwork. The process will never be a little walk in the park, because everything needs to be fueled with hard work, failures, continued learning and most of all, great relationships. This show gives us a lesson that nothing worth having comes off easy. Each part of the organization has its own function, and each should work according to what they are designed for.
Because the truth is, success is not reaching something and staying in it forever. Success is something that you nourish and maintain. Let's use this as an example: Finishing a whole code or plan for a system is not a success. The only time you can say that it's a success is when you continue to work and update it to maintain its efficiency to serve its purpose.
Bottomline is, dreams will remain dreams without actions. Let the downfalls and criticism be your guide not to commit the same mistakes and improve yourself. And never regret the choices that built your character, and keep moving forward. Be like the lead character in this series. Somewhere in your DNA lies a big dreamer, and let that DNA shine.
Overall, this series is a great guide for young people who have nothing but endless ideas and courage. I probably would have to finish this as I know that it's gonna give me a great deal of inspiration. Not only because I am in the same field, but because just like the characters, I aspire to be someone who gets through all the challenges and life hiccups for the sake of my dream.
Again, everything that is worth having doesn't come off easy. But all the hardships and sacrifices are gonna pay off in the end. Believe in your dreams. And believe that you can.

CASE STUDY 4
-- NEW CENTURY HEALTH CLINIC --
BACKGROUND
New Century Health Clinic’s office manager, Anita Davenport, recently asked permission to hire an additional office clerk because she feels the current staff can no longer handle the growing workload. The associates discussed Anita’s request during a recent meeting. They were not surprised that the office staff was feeling overwhelmed by the constantly growing workload.
Because the clinic was busier and more profitable than ever, they all agreed that New Century could afford to hire another office worker. Dr. Jones then came up with another idea. He suggested that they investigate the possibility of computerizing New Century’s office systems. Dr. Jones said that a computerized system could keep track of patients, appointments, charges, and insurance claim processing and reduce paperwork. All the associates were enthusiastic about the possibilities and voted to follow up on the suggestion. Dr. Jones agreed to direct the project
Because no member of the staff had computer experience, Dr. Jones decided to hire a consultant to study the current office systems and recommend a course of action. Several friends recommended you as a person who has considerable experience with computerized business applications.
ASSIGNMENT:
1. Dr. Jones has arranged an introductory meeting between the associates on New Century Health Clinic and you are to determine if mutual interest exists in purchasing the project. What should the associates try to learn about you? What should you try to learn in this meeting?
Initially, like what hired experts do, I will submit a paper that will speak for me. my background as an expert in the field to be exact. I will explain what I do in the field to help businesses like them, operate and accomplish their works accordingly. I would likely make it sound persuasive and reassuring. As the background of the study says, no one has a solid knowledge for computers. So they need to know that technological advancement in the organization doesn’t have to be a big adjustment. After that, I would have to take note of the areas where they are having struggle with. How they operate. What are the tasks that they do? What are the categories of information that they disseminate and propagate. What are the departments that they have, and if they are willing to maintain or are they capable of sustaining the expenses of the changes. Or would there be any other suggestions that we may add in the system or anything that they want to be included in the planning that they think would help them a great deal.
2. Does the present system propose a strong business case?
Aggressively, a big YES! The proposed system will be a strong business case. Why? Simply because, the system will just serve its purpose. Which is, to relieve the unbearable workloads in New Century Health Clinic.Besides, the challenges and problems are well defined, so the corresponding solutions and alternatives will be meticulously picked and will surely address the needs of every area in the organization.And if the clients would raise the green lights, then we’ll proceed to the implementation.
3. For each type of feasibility, prepare at least two questions that will help you reach a feasibility determination.
Technical Feasibility
- Will the organization be able to produce the technologies and gadgets that have the specs needed for the advancement?
- Will they be able to positively respond to this change in terms of navigation and basic technical skills? Or at least take a step forward to go with the new flow?
Economic Feasibility
- Is the cost already calculated and fits within the target expenses of the new system?
- Are they willing to maintain the system and prepare a budget for future updates of the system?
Operational Feasibility
- Are the employees confident that they can make the system work if minor problems arise during the working time?
- How long will it take for the workforce to get accustomed to the transition of process from papers to computerization?
Schedule Feasibility
- Will the system be useful enough for them to actually finish their tasks faster than the traditional way they are used to?
- Will the system be ready before they get their increasing workload out of hand?
4. You begin the preliminary investigation. What information is needed? From whom will you obtain it? What techniques will you use in your fact-finding?
I will definitely get all the information needed from Anita, the Manager, who conducted the discussion with the exhausted employees, and from the employees who have the first hand experience of the challenges inside the organization.
Listed below are the important information that i will be needing:
- Different departments in the office
- Kind of information they disseminate and propagate
- Preparedness of the employees
- Task that they accomplish
- Other offices that they perform exchanging of information with
- Suggestions from the employees
- Financial preparedness for the proposed system
Techniques that I will be using will be in the form of research. I will most likely give out information sheets and questionnaires to the employees of the organization or user survey, to ensure that the proposed solutions will directly benefit the people in the line. I will directly get involved with the whole process by having a conversation or interview with the employees to know their needs in different areas, observe with their current process to witness the real challenges in the workplace and lastly, make sure to get a specific suggestion from them out of their sentiments.

I’d say that the second part of the seminar was another episode of discovery and confusion. Learning is indeed fun, but could also be mentally draining at times especially when there is time constraints.
I completely understand that Data Mining is a way of gathering data to formulate a projected outcome, however, it is really confusing how it is not considered a “research”. Mr. Jadraque mentioned that there really is a difference between Data Mining and Research, but he was unable to further elaborate it, which, in my opinion, is understandable because he has no solid background of research and statistics. But it would have been nicer if those two terms were properly defined for us to know where to draw the lines and have a more solid ground and foundation on the application of Data Mining.
On the middle half of the seminar, we were introduced with a Data Mining software called WEKA. It was cool, I would say. But it became a little less cool when unstable connectivity hindered us from following the steps of how to fully navigate it. I get that it is very useful for Mining, but would have been really cool if our hands-on experience was accompanied by actual guidance of an expert like Mr. Jadraque.

Our first try with the software was really challenging. We used our excel file, which was our output for the last meeting, and it turned out successful. But, according to Mr. Jadraque, it would have been more reliable if we used heavy collections of data. That actually makes sense. In research, the higher the number of data, the higher the confidence level. And it led me back to thinking hard about the actual difference of Research and Data Mining.
To sum up the whole experience though, it was fun. But I would boldly admit that WEKA is indeed hard to navigate. We’ve only explored a tip of an iceberg for that, there are still some functions that we haven’t tried and it would be really cool to get a hold of more expertise for that.
Mr. Buladaco’s initiative to invite Mr. Jadraque was never a waste of time and I’m happy we experienced his expertise in this field and I’m pretty sure I’m not the only one who thinks that way.

-- FIRST SEMINAR PONDERING: TRUTH ABOUT DATA MINING-
Data Mining. I used to have a very expensive interpretation of data mining, however, Mr. Jadraque simplified terms for us.
Data mining is just another thing used for discovering trends. It just looks for usable data that can be used to for a larger scale of decision making inside the company. So, by the use of other software, the data collected will be used to analyse or interpret the categories where the consumers’ needs fall.
My classmates and I even had a conversation once that maybe data mining is limited online and can only be accessed by specific personnel, but it was just another theory that Mr. Jadraque put an end to. It is just around the corner and is actually part of daily transactions that we just don’t put much attention to. For an instance: I already went home late last night, so, I can’t go home late today because mom’s gonna hit me with Dad’s belt.
To sum up everything, it’s a pattern finder that interprets the data collected to form a projected outcome. Easy as that.
