Corporate Event Planning Guide for 2021: Things to Consider
Introduction
Corporate events are the ultimate space for networking, product launch, and new partnership. These events are a crucial strategy for business expansion. However, the Covid-19 pandemic disrupted the entire event management industry. According to experts, virtual events are going to be the next big thing. Corporate event planning companies are also embracing this new strategy for their clients. In this blog, let us explore the crucial things to consider while planning an event in 2021.
Your Ultimate Event Planning Guide for 2021
For corporate companies, entertainment and networking events are major aspects for expanding their business footprint. But the unique situation post the Covid-19 crisis is forcing them to adopt new strategies for conducting these events. As a result, numerous corporate event planning companies are offering innovative methods to facilitate events successfully. In 2021, a mix of hybrid and virtual events are becoming the new normal. If you are planning to conduct virtual events in 2021, do consider these crucial aspects.
Select the Appropriate Virtual Platform
From large exhibition halls and conference rooms, events are slowly moving towards virtual spaces. This creates new challenges in terms of selecting the appropriate virtual platform. The selection of an event space depends upon the nature of your event and participant size. For virtual sessions, there are numerous platforms available in the market today. Select the best option that offers the most innovative features along with exceptional live-streaming capabilities. In product exhibitions and live demos, equip yourself with platforms with 3D interactive features. Ensure that the platform provides excellent customer support options. This will help in uninterrupted event streaming across the globe. Nowadays, there is also an increasing trend of hybrid events that combine few in-person attendances and virtual streaming. A professional corporate event planning company can help you with all aspects of a virtual event, including the appropriate platform.
Ensure Technical Capabilities
The backbone of any successful virtual event lies in robust technical capabilities. Unlike in-person events, even minor technical glitches can completely break an event. The interruptions due to technical failure can cause utter discomfort to the participants. It negatively impacts your event sponsors and other stakeholders. Ensuring appropriate technical arrangements is the key to tackle these challenges. An adequate number of high-quality cameras, sound recorders and, live-streaming equipment is necessary for smoothly conducting the event. A high-speed internet connection with good bandwidth is inevitable for uninterrupted streaming of the event. In short, ensure that there is overall production quality that can retain viewership throughout the event.
Create a Secure Meeting Environment
Large-scale corporate events involve complex logistics. Moving forward, this is going to be tough for both in-person and virtual events. In events that involve the physical presence of participants, strict safety protocols are already in place. This includes medical screening, no-Covid certificate, etc. It can also lead to restrictions on the number of people attending the event. On the other hand, virtual events pose cyber security threats. In the absence of proper security measures, virtual platforms are susceptible to malware attacks. This can expose private data and confidential information. The event organizers need to make their system highly secure. Corporate event planning companies like Entire Productions are very helpful in organizing a very secure virtual environment.
Ensure Content Quality
A proper event schedule and content flow are the major components that make an event attractive. Nowadays, people are looking beyond routine panel discussions and expert talks. Participants are increasingly looking for highly interactive events. It is advisable to use virtual reality (VR) and 3D platforms to provide an immersive experience. It is very crucial in the case of product demos and exhibitions. In the case of virtual events, capturing viewer attention for long periods is a challenging task. Curation of high-quality content is the best method to engage your viewers. This, along with a mix of entertainment events and breakout sessions, can avoid viewer fatigue. The use of online chat room sessions is also a good option for networking.
Changing Sponsorship/advertisement Avenues
Corporate events are usually a golden opportunity for product launches and marketing. In events with physical participation, large hoardings, banners, and hand outs at the venue was the marketing material. In hybrid meetings, a small portion of that continues to exist. However, a major chunk of advertising is moving to the digital medium. This is a very lucrative option as digital mediums can reach numerous audiences simultaneously. Short format explainer videos and digital posters have a wider reach and provide a better ROI. So, make sure to reach out to your prospective sponsors with this unique offering. A corporate event planning company such as Entire Productions can curate high-quality virtual events that can attract sponsors.

How Investing in Virtual Experiences Benefits Event Businesses and Communities
There is a growing preference for remote working across business sectors. Remote work has had a positive impact on employee productivity, business expenditure, and the bottom line.
The decrease in employee absenteeism is also significant. These benefits have encouraged many businesses to continue to permit remote working.
Culture-centric companies have turned to create virtual experiences for their employees to ensure connectedness within the team. Many businesses are already familiar with virtual experiences such as virtual lunches and virtual coffee breaks. But they find that these on and off experiences though effective, do not replicate the team connectedness that a physical ambiance can build.
This need gives event businesses an opportunity to make a difference. Event businesses can involve local businesses to create unique virtual experiences, furthering whole communities in the process.
Given here are some reasons why investing in virtual events can be beneficial for event businesses as well as communities:
Leverage a Profitable Business Opportunity
Businesses realize that remote working is here to stay for an indefinite period. They are fast adapting to this method of working. Those who are already experiencing the benefits of remote working are looking to integrate it into their work culture.
Either way, the challenge facing these businesses is improving employee connectedness across remote workstations.
Employers are already familiar with virtual concepts such as happy hours, meeting snack breaks, and team lunches conducted over video platforms such as Zoom. They are searching for virtual experiences that take employee communication to the next level and help them connect with others more effectively.
Event companies can leverage this business need for improved employee communication and connectedness by creating unique virtual events. They can raise the excitement up for employees working remotely with creative experiences that are practically feasible as well.
Burnout, isolation, and reduced team connectedness are some common challenges with remote working. Event companies can help businesses address these challenges efficiently by designing virtual events that are unique, engaging and bring team members together in an interesting way.
Create Exclusive Virtual Experiences by Partnering with Local Businesses
With the rise in virtual events, event businesses need to create truly amazing experiences to stay ahead of competitors and grow and thrive. Partnering with local businesses delivers several benefits, including a sharp competitive edge.
With local businesses, you can create “virtual hosts,” which are basically any business capable of delivering desired virtual experiences. For example, your event company can team up with a local theater to offer employees virtual tours of sets and costume stations. Tours such as costume station close-up encounters are usually not possible in a physical ambience.
As another example, you could partner with a local pastry to deliver homemade cakes to your team. You could also arrange with the pastry to set up a virtual tour of a typical day at their business, which your team can view during a break.
Teaming up with a local music band, farm, or zoo, to create some interesting virtual experiences is also an exploration. Some local attractions such as zoos can create interesting virtual experiences for employees' families, facilitating better team-building.
Deliver Amazing Customer Experiences while Supporting Local Community
By partnering with a local company, you get to create new virtual experiences for your clients. There are unique local attractions to explore, which means you have possibilities infinite for creating amazing virtual events.
You get to support local businesses as part of the process, which improves your goodwill in the community. You also help businesses create a genuine virtual experience for their employees. As you help businesses collaborate and grow, so do you.
With long-term and short-term local partnerships, you can create extraordinary brand experiences and inspire a positive customer perspective for your brand. These strategies enable you to create a unique value for your own brand.
Develop Valuable Business Partnerships
Virtual events save a lot of time for event companies. You still have to plan the event and pay attention to every detail. But you get to save time on joining on-stage demos, speaker sessions, and other responsibilities common to a physical platform.
Virtual events give you an invaluable opportunity to identify, develop and expand your business network. You can get in touch with businesses other than local businesses, which leads to increased opportunities for collaboration, innovation, and business expansion.
Benefit from Reduced Expenses and Better Returns
Virtual events rely on technology, which is already available. There are no expensive venue costs to handle. You get to save on on-site costs such as staff payments, accommodation expenses, and stall setup spending.
These savings make for investment in reliable and efficient virtual technology. Virtual experiences deliver tangible results of ROI as well as intangible benefits such as an outstanding brand value.
In Conclusion
Event businesses can redefine the culture of remote working for businesses through creative virtual events. They can leverage advancing technology to make remote working more positive for employees and businesses.
With well-developed virtual events, event companies can help businesses elevate their team communication, collaboration, and cohesiveness. By involving local businesses, event businesses can increase the exclusivity of virtual experiences for businesses while creating a business opportunity for locals.
Able technology and creative experiences can grow businesses while moving a community forward. And, event companies are uniquely positioned to not only visualize such virtual experiences but also to make them a reality.
Entire Productions has been producing virtual events with great success and can work with you at any level to produce your event.

Make Your Conference Memorable with Nine Simple Steps
Hosting a successful event isn't always just about how much you're spending on it. Event management companies don't have to go over budget or search for sponsors to deliver an impactful experience for their audiences.
Conferences are key networking events that bring together industry professionals, corporates, potential clients, and enthusiastic participants. A successful conference can boost a company's image, build brand awareness, and be a powerful marketing tool for showcasing products and services.
Event management companies that deliver tailored and audience-centric immersive experiences find more success than the simple 'one-style fits all' approach. Here's everything your event management company can do to create memorable experiences for your host organization, guests, and sponsors.
1. Make the Stage Stand Out
In conferences, people spend a lot of time staring at the stage. A dull and boring backdrop can pull away at their focus and make phone screens appear more exciting. Visual elements that make the stage more exciting to look at can invite more focus and provide additional branding space.
A custom banner that's both visually striking and has the brand logo on it builds awareness and adds a visual element to the screen.
Projectors on either side of the stage allow people to engage with the presenters better. In a survey, 77% of respondents said body language and facial expressions would enable them to better connect with presenters.
A plexiglass podium can add a contemporary touch to the stage.
Lounge furniture for presenters on stage is another great option to consider. It looks sophisticated and is comfortable to boost.
Greenery is another element that adds a great touch to any stage. Rent small trees, shrubs, or flowers to make the stage appear more appealing. If your conference is in an enclosed environment, this is a great way to bring nature into your event.
2. Use Signage to Boost Brand Visibility
Signage is a powerful tool you'll be using throughout your conference area to build brand awareness. Strategically placed signage can help build brand visibility without making audiences feel like you're trying too hard.
Directional signage helps people get to places and eases crowding and confusion. Add your brand logo and mention key sponsors on directional signage to boost visibility.
Easels and vertical banners at the main hall entrance, expo area, etc., give you additional space to place branding material.
Badges are another way for brands to boost their visibility. Consider a double-sided badge. On one side, leave ample space for the participant's name and details. On the other side, showcase the brand logo, name of the event, key sponsors, and more.
3. Consider Adding Music to Your Events
Music brings people together. It also helps people relax, can ease tension, and act as an ice-breaker. Live music between sessions can keep people occupied. If you're hosting a multi-day event, then live music can keep participants engaged and keep them focused on the event.
Music at the buffet table can add a touch of fun to your event, even as a special session in itself. If live music is outside your budget, then consider opting for a DJ instead.
4. Introduce Ice-Breaking Events
Event management companies make use of creative ways to get a network of people to find more success. Consider live entertainment in the form of encouraging a small flash-mob style dance or a karaoke session to get people to loosen up.
Even stand-up comedy can add a touch of fun and make your event appear more memorable.
5. Food, Drinks, and Memories
The food station is where you can expect people to connect and speak about the event. Providing a buffet table over standard lunch boxes help people interact better. They won't just be sitting in their seats with packaged food. Instead, they'll be walking around, networking, and most importantly, talking about the conference.
Provide options for all kinds of eaters. Vegan options, lactose-free food, and a station catered to food that's free from common allergens will make your audience feel like you care.
Adding healthy food such as granola bars, salads, and sandwiches keep your audiences full without making them feel bloated throughout the day.
If you're offering alcoholic beverages like beer or wine, then add non-alcoholic options as well.
Coffee and tea stations are common at conferences. Event management companies can consider adding alternatives to standard tea and coffee by including sugar-free options, decaf, creamers, etc. Almond or soya milk is also a good choice, especially for lactose-intolerant people.
Event management companies should consider boosting health and wellness at events.
6. Social Media and Spreading Event Visibility
A unique Twitter hashtag that event participants can use to talk about the event will help them network better, even after the event is over. Similarly, starting a Facebook or Telegram group can go a long way in building brand visibility by generating conversations.
Make sure you update your event landing page on your website with relevant information on the day's schedules. A mobile app created specifically for the event can help people know what to expect, where to go, and ease crowding. The option to self-register through your website or app eases lines at the entrance as well.
7. Pre-Event Planning
A pre-event party where your sponsors, clients, and keynote speakers get to know each other helps build community before the event. If your Twitter hashtag is already active at this point, and it should be, then this will also build buzz for your event.
Get people talking before the event starts to build enthusiasm and draw larger crowds on the event day.
8. Sustainable Goodies Bag
People who attend conferences regularly probably already have a large number of totes, plastic bottles, and pens.
How about opting for locally sources sustainable options? Reusable water bottles with prominent branding, a diary, or a calendar are more likely to be used. At the same time, you're also showcasing that you're doing your part in reducing your carbon footprint.
9. Understand Your Audience
Knowing who your audience is and what they're looking for is the best way to build a memorable experience for everyone. Corporate events or training sessions that are audience-centric and make people feel welcome to inspire them to return for future events.
Provide information, help, and tools they need for a better experience. Increasing accessibility by adding ramps, making sure an elevator is nearby, etc., inspires more confidence in your event management company.
A personalized and informative experience is the way to go when it comes to hosting successful events. Learn more about event hosting from Entire Productions, and make every event stand out.

Five Great Themes for an Unforgettable Corporate Event
What’s a corporate event without a theme? — — A soulless gathering where all invitees try hard to look amused and delighted, but secretly wish on getting home soon. No matter how great the food.
Themes are the life of an event. They don’t just entertain but inspire as well!
The theme you choose builds integrity of the event and lets the guests bask in the essence of your underlying corporate idea.
Selecting a theme that resonates with your value is the opening move in corporate event production, to choose the right tone for your company!
Here we roll out the big fives from our collection to get you started!
Best of San Francisco: Magazine Event
2019’s Best of San Francisco Magazine event is a highlight in our corporate event calendar!
The choice of venue was SVN, and the main ballroom and rooftop space were the places secured for the corporate event. The ballroom enhanced the VIP experience by the staging of an aerialist on a trapeze and a magnificent sway pole performer.
Our band, The Party Starters, adorned the event with fantastic music, and The Beach Blanket Babylon performance did entrance the entire thousand guests!
Picture Perfect: An evening of living Art
The event took place at the Del Monte Aviation Hangar, commenced with a one-hour cocktail reception. The guests were taken in for a surprise when the eight Degas-inspired ballerina statues came to life upon greeting!
They were then led to a seated dinner to witness the star attraction of the night, The Living Art Tableaus.
The Living Art Tableaus are the revival of classical paintings through our canvas backdrops, props, costumes, and live models. There were six tableaus revealed in three sets of two at a time of about 30 minutes apart. Our artists and models swept the audience off their feet with incredible work and enactment!
After party: Into the Darkness
The attendees’ list included residents from San Francisco to people flying in from all over the world for the Dreamforce Conference. It was quite a challenge to plan an engaging after-party for such a diverse group!
The party was held at Verso nightclub, featuring acts of entertainment every hour. The performances involved Aerial Arts, a custom choreographed piece of If the Walls Could speak, storytelling, and LED dances.
The atmosphere was set dark and mysterious, with the intent to make the guests feel one with a compelling environment!
The intriguing part of the night was the ambient artists, who interacted with the guests between the acts. The artists were models completely body painted as the Seven Deadly Sins, and the Five Crawlers. The Crawlers lurked in the shadows, mildly startling guests and communicating with them through dramatic whispers.
Carnivalpalooza:
Nothing implies celebration like the lively carnivals!
The first carnival event was held at the Oakland City Centre, free and completely open to the public. The team managed a craft booth that attracted many visitors who eagerly made custom frames. The mesmeric magician and the friendly-faced balloon artist left the children ecstatic!
And of course, the good ol’ popcorn and cotton candy vendors made the carnival complete!
We decided to take the second event a little higher to the seventh floor of a historic San Francisco building. The stilt walkers, tarot card readers, and the mime artists enthralled the guests. A lot of them delighted themselves at the Photo Booth complete with carnival-themed props, and the vintage carnival games.
As for the third event, in addition to the mentioned amusements, we topped off the carnival theme with live music spun by DJ King Most and skilled caricaturists. They did bring out the kid in every guest!
Annual Showcase: The Vernal Equinox Experience
At Team Entire Productions, the Annual Showcase is “OUR” moment of the year!
The theme being Vernal Equinox, we took our guests on a decorative transition from darkness to light.
A moon and our “Starry Starry Night” room greeted our guests into darkness, which displayed a winter-themed food station. The room featured a Light Painting Photo Booth, where the artists painted with LED lights.
The transition was shown subtly, with the lights being adjusted in the banking hall as the evening progressed. The guests were shown an immersive experience by evolution in color, through a slow high gradation in highboys, as one walked into a room.
The main-stage inaugural was dark and mystifying, followed by distinct acts of entertainment such as performances by harpist, singers, aerial artists, hip-hop ballet dancers and such, for every half an hour.
The grand finale was a Holi-festival themed piece performed by our dancers to fast-beat Bhangra with brightest aerial silks framing the dance on either side.
We certainly did outdo ourselves!
In addition to helping bring in the extravaganza, a theme invokes a feeling of being a part of a bigger purpose.
Let us help you in framing the right theme for your BIG day! With an experience of 18 years, we assure you that we can bring in the grandeur to your corporate event!

Go Virtual! Explore The 7 Benefits of Hosting Virtual Events
The value of face-to-face meetings and events cannot be emphasized enough, but what is the best solution when such events are limited because of global pandemics, natural disasters, and wars? The solution: virtual events. Thanks to virtual event platform technology, companies can host meetings and events virtually with anyone and anywhere in the world.
What are Virtual Events?
A simple definition for this term is an event held online. In a virtual event, a web-based platform is chosen upon which many attendees are invited from around the globe. Essentially, it’s like a virtual meeting room where interactive engagement methods are used such as chat boxes, question & answer, and polling, etc. Similar to in-person events, virtual events can be held to address anything.
Usually, there are 4 kinds of virtual events. These are:
- Internal hybrid events
- Webinars
- Virtual Conferences
- External hybrid events
Due to the ongoing Covid-19 pandemic, going virtual has not only become a popular solution but a common sense one as well. Virtual events are helping companies save money and protect their employees’ health.
Many events went virtual during the current Corona pandemic such as Facebook’s F8 Developer Conference, and Microsoft Build.
Instead of canceling your next event, let Entire Productions help you go virtual! It’s a fact that the Covid-19 virus isn’t going to go away anytime soon. Everyone has to learn to live and work in the presence of this virus. Rather than abandoning or rescheduling your events, save money and time with a fully integrated virtual event.
Here are 7 key benefits of hosting virtual events:
1. It lowers expenses
Companies and event planners are currently dealing with shrinking budgets, so it’s not surprising that they’re always in search of money-saving strategies. Hosting virtual events is definitely a way to do so. Businesses can reduce the cost of hosting an event by as much as 75%, simply by going virtual. Event planners will save money on renting a venue, hiring staff including set-up and takedown crew, travel costs, attendee’s meals and hotel accommodations, and much more. The only real expense is the cost of holding the meeting in a virtual meeting room platform.
2. It will save time
Since the event is virtual, you are saving time for your attendees, staff, and yourself. All virtual events need some time to set up, such as registration, event website, promotion, event marketing, etc. However, the time spent setting these things is far less than putting together an in-person event. Since there’s no traveling required, your attendees and employees can spend their time on other company-related matters.
3. It provides global access
Event planners are always on the lookout to expand an event’s reach. The goal is to engage as many people as possible. Virtual events can easily accomplish this feat. You may promote the virtual meet by sharing the link on your website and various social media channels. This enables people from around the globe to join immediately without worrying about traveling. A virtual event enables planners to increase their audience and encourage participation, irrespective of where the attendee lives.
4. It gives flexibility and a variety of choices
Since virtual events are hosted online, you have a lot of wiggle room in terms of how you would like to broadcast the event. Regardless of whether you’re hosting a virtual town hall meeting, a thought-leadership conference, a sales promotion, etc., you have the freedom to decide how to make each session interactive. You even get to decide the language and invite a guest speaker or two.
5. It’s easy to form new connections
Virtual events are more fast-paced than in-person meetings because the attendees are not required to shift from booth to booth or sessions to session. This makes it a lot easier for speakers and attendees to form connections. Since the meeting is a virtual one, all attendees can seamlessly record and access key information such as a person’s name, title, company details, etc. from their tablet or smartphone.
6. It facilitates feedback
Feedback is vital to both in-person and virtual events. However, unlike in-person meets, attendees have a constant online presence. This means they may easily provide responses to real-time surveys and polls during each session. Receiving immediate feedback helps companies and presenters gauge details like the faring session and the overall success of the virtual meet.
7. It’s easy to quantify results
It is far easier and faster to collect information and valuable statistics from virtual events than from live events. You can determine who the attendees are, where they reside, the number of participants, etc. You may also figure out how the attendee is paying. These are invaluable tools for marketers.
The interest in hosting virtual events has gone up since the onset of the Covid-19 pandemic. Many companies realize the many benefits of having such events. If you’re a fledgling when it comes to hosting a virtual meet, then consider partnering with Entire Productions. We can help you expand and grow your audience.

COVID-19 Impact: How to Sustain your Corporate Events Business?
Several event planning companies in San Francisco are concerned about how to modify their communication strategies during a time when social distancing and self-quarantine are the new norms? During the current COVID-19 pandemic, most people don’t have a desire to travel, let alone attend live events. The events industry has been gravely affected by this global health crisis, resulting in postponing or canceling many events.
This is a puzzling time for event organizers. Event planning companies must learn to use a balancing act: they need to follow the health and safety guidelines set by public health officials to halt the spread of the Corona virus; while coming up with strategies to sustain their event planning businesses.
The crisis may end in a few months, but a financial crisis still awaits at the end of the tunnel. This is why event planning companies San Francisco must follow the adage, “When the going becomes tough, the tough get going”.
Listed below, are a few recommendations that corporate event planning companies can implement to minimize the impact of the COVID-19 crisis:
1. Prep for safety
If you are hosting an event that was booked before the lock down orders were implemented, ensuring your attendees' health and safety should be your top priority. Consider implementing the following strategies during the event:
- Protect your attendees’ health by providing them with masks, sanitizers, safety kits, etc.
- Sanitize the event location thoroughly before the guests arrive.
- Keep travel arrangements ready and available for attendees.
- Vacate the venue immediately after the event is over.
2. Set up a crisis management team
To maintain control over the present situation and its effects on your events business, event planning companies should set up a crisis response team. This group of people will be responsible for providing prospective attendees with proactive communication. For example, you can let attendees know about your onsite preparedness plan. Other members of the team can be responsible for communicating this message via multiple channels. Be sure to post your event planning company’s position on the corona virus on the homepage
.Include links for more information. Most importantly, ensure everyone in the company is aligned with regards to consistent messaging.
3. Inform every attendee
If an event is deferred or canceled, corporate event planning companies must inform each and every attendee. Do not simply post a message on your Facebook or homepage. Personally, get in touch with each person via email and or phone calls. Use social media channels as a secondary method of announcing the postponement or cancellation. Be sure to keep attendees updated about rescheduling at the earliest.
4. Provide timely refunds
In case of a cancelled ticketed event, Event planning companies in San Francisco have a responsibility to refund the ticket's cost to each attendee. Provide this refund immediately along with communication about why you’re canceling or postponing the event. This will help build trust with your attendees.
5. Make preparations for the future
It’s a fact that the corona virus is not going away anytime soon. Event planning companies must come with strategies for hosting future events while keeping health and safety norms in mind. This is a period for brainstorming. Consider how you can adapt your event planning and hosting strategies. For instance, instead of a live event, consider hosting virtual events. In addition, analyze the data you have on hand, i.e., current registration patterns, past performance data, etc. Are there attendees who are facing travel restrictions? Do you need to change your marketing strategies from international to more regional or localized areas?
6. Continue to build brand awareness
You may be in the process of coming up with unique ways to organize events but you don’t want your customers to forget about your events planning company. Use this time to be creative. Create content that engages with existing customers and engage with potential prospects. Event planning companies can communicate about upcoming events and new updates in the event industry.
7. Encourage Work-From-Home
It’s not a surprise that that postponed or canceled events will result in decreased revenue for many event planning companies San Francisco. One way to curb some of these negative effects is by defining tasks that employees can complete remotely or from home.
8. Keep customers updated
Everyone is in the grip of a major health crisis. As a result, being updated about the latest developments in the battle against the COVID-19 pandemic is crucial. This doesn’t mean that corporate event planning companies San Francisco must now become virology experts. This is the time when sending out the right message via the right channel at the right time will make an impact. Direct your attendees to platforms like the Centre for Disease Control and Prevention and the World Health Organization. You may provide a direct link to these organizations on your website.
9. Maintain cash flow
Preserving consistent cash flow is a struggle many event planning companies are facing. This is arising from the fact that physical events can no longer be organized. You must reduce operational costs and focus on business development and marketing strategies to sustain your event business.
Staying afloat is the new mantra for many event planning companies in San Francisco. Luckily, moving from a physical event to a virtual one will prove to be an effective solution.
Host your next virtual event with Entire Productions. We provide an integrated virtual stage to help manage event payments, registrations, and live streaming, all in one go.

The Ultimate Event Marketing Plan That Attracts Tons of Attendees
Every quality event is designed to make a specific impression on the attendees. This is not to mention that events are organized to attract a specific class of attendees. Hence, the actual success of any event would depend on the marketing plan designed behind the scenes.
While event hosts may have great ideas on the marketing plan to attract attendees, it is often the best option to hire an experiential event marketing agency that has tested and implemented several marketing plans for the best results.
Attracting tons of targeting attendees in a competitive market structure is not only dependent on the event budget but designing the ultimate event marketing plan.
What is an Event Marketing Plan?
It is a collection of strategies and ideas to aid an event planner in reaching the target audience and having a successful event.
For instance, in experiential event marketing, the goal is usually to gain more customers for the clients by staging unforgettable events. Experiential event production companies that desire to introduce products through experiential marketing would have strategies that involve a conversational or traditional marketing approach in place to ensure that this significant goal is achieved.
The plan could involve strategies to mimic real-life scenarios, sections that involve customer participation, increased audience engagements, which will attract bigger industry players, boost brand visibility, etc.
Why You Need an Event Marketing Plan?
Writing out an event marketing plan enhances clarity. It brings out the important details of the event at a glance, such as the number of speakers, expected attendees, vendors, etc. A good marketing plan documents the budget as well as strategies needed to acquire the necessary funding. Such a well-laid out plan can be readily made accessible to any potential investor.
Essentially, the plan brings about the certainty of steps to be taken and investments to be made towards the event. Besides this, it also provides the information collected and insights gained, which will help in planning better for future events.
What are the Essential Elements of an Ultimate Event Marketing Plan?
These essential elements must be borne in mind before planning for event marketing. A marketing plan for an event consists of three main parts: pre-event, the event and post-event.
In analyzing these elements, one must take note of when each activity or step would be needed.
Team management of each section of the event.
Main aims and objectives of the event.
The overall and sectional budget of the event.
Promotional avenues to be employed.
Content creation for the event and management tactics
Follow-up activities for sponsors and audience
Communication tactics to be employed
Last-minute promotion and engagement
How to Create the Ultimate Event Marketing Plan
The ultimate event marketing plan is one that explores all essential elements that would attract a more useful audience to the event and also achieve the main aim for the event. These are non-negotiable steps to take to create a successful event marketing plan:
A. Identify the Core Aims and Objectives for the Event
An event without an agenda or an objective is not worth planning for in the first place. In other words, an event must have a goal or objective; identify it. The goals are important because they help define the essence of every step taken towards the planning of the event.
B. Outline your Budget
Funds can make or mar any event depending on the sufficiency or otherwise of the funds. To avoid a situation where available funds are utilized on unnecessary things, the budget must be well outlined and available to all parties involved.
C. Prepare your Marketing Content
What is the value proposition of the event to your target audience and industry players that will make your event attractive and irresistible? These contents must be carefully prepared with intense persuasion in mind, whether subtle or obvious. It includes content on blogs, short videos, social media, flyers, and posters as well as adverts.
The preparation of experiential marketing content also involves plans for the event content. The timeline of the event, speakers, entertainment and refreshment details, must be planned as they are tools of persuasion for the marketing content.
D. Know your Target Audience
If you do not know the target audience, you most likely will plan amiss. Imagine putting out content of teenagers for business people, the target audience would never show up, and the goals cannot be achieved.
Research must be conducted to know the attractions and general dislikes of your target audience. From the gathered data, specific attention can be paid to their pressing needs as regards an event like the one you are planning.
E. Promote! Promote! Promote!
This is the most important step to create an event marketing plan; it is the core of experiential marketing and event production.
There are many avenues of promotion in today’s digital age, which has gone beyond traditional advertising. These avenues include social media, adverts through applications that are used every day and on blogs by using Google ads, fliers, posters, broadcast messages, celebrity support, social media influencers, and so on. Besides, there are methods to ensure that your event is in the faces of your target audience all the time until the date of the event.
To achieve an ultimate experiential event, companies may need to explore as many options as possible.
